The Job
The Deputy Ministers’ Office (DMO) within the Ministry of Environment seeks a highly organized and detail‑oriented senior administrative professional to join us in the role of Executive Administrative Assistant. This position will provide executive level administrative leadership and office management support to the Assistant Deputy Minister of Corporate Services and Policy Division and the DMO team by:
Managing calendars through collaboration, prioritization and scheduling
Assembling all briefing and background materials in preparation for meetings
Monitoring emails and redirecting requests to other team members as appropriate
Planning, scheduling and coordinating travel and logistics for meetings, training sessions and other events
Monitoring administrative processes and making improvements across the division to ensure optimum efficiency
Drafting, recording, proofreading and editing correspondence in accordance with Government of Saskatchewan visual identity standards
Coordinating and participating in management meetings including drafting and distributing agendas; recording minutes; and tracking and monitoring action items to ensure timelines are met
Managing incoming and outgoing correspondence ensuring proper distribution
Leading, coaching, guiding and advising administrative staff in the ministry
Maintaining electronic filing and bring‑forward and records‑management systems
Verifying, coding, processing and tracking invoices for approval and payment ensuring policy compliance
Compiling expense information and preparing budget reports for review
Ordering supplies and handling office equipment repairs and furniture replacement
Responsibilities
Manage the Assistant Deputy Minister’s calendar through collaboration, prioritization, and scheduling.
Prepare briefing and background materials to support the Assistant Deputy Minister in advance of meetings.
Monitor the Assistant Deputy Minister’s email inbox and redirect requests to appropriate team members.
Plan, schedule, and coordinate travel and logistics for meetings, training sessions, and other events.
Monitor administrative processes and implement improvements within the branch to enhance efficiency.
Draft, record, proofread, and edit correspondence in accordance with Government of Saskatchewan visual identity standards.
Coordinate and participate in management meetings by preparing agendas, recording minutes, and tracking action items to ensure timelines are met.
Manage incoming and outgoing correspondence to ensure timely distribution.
Maintain manual and electronic filing systems, including bring‑forward and records‑management processes.
