Join our dynamic team at CCE as an Administrative Assistant, where you’ll play a vital role in enhancing the experience of visitors and students while streamlining operations for a thriving university community.
Reporting to the Head of Career & Professional Development at CCE, this role involves a diverse range of administrative and support duties, including assisting and directing visitors, students, and members of the university community, addressing administrative inquiries and resolving issues.
Additional responsibilities include preparing reports for management and faculties, querying data, establishing schedules and timelines based on office and program needs, composing, editing and proofreading correspondence and reports, preparing various administrative documents, and maintaining student and employer data.
What You’ll Do:
Graduation and Convocation activities for CCE students
Support for transfer credit and Letters of Permission
Administrative support for Prior Learning Assessment and Recognition
Support for program completion letters
Generating CCE Honours and Academic Action lists
Posting and support for sessional hiring
Tracking stats and program audits
Administering intensive summer LG courses
Scheduling and preparing for annual instructor and advisory committee meetings
Assistance with program development
Assistance with scheduling courses
Support for student recruitment and events
Support for High School Accelerated
Other support including room bookings, registration, ordering textbooks, scheduling meetings, taking minutes, monitoring student program progress, monitoring the departmental email account, special projects, and other duties as they arise

Position Requirements
What You’ll Bring to this Position:
Grade 12 supplemented by the successful completion of a recognised business course
Minimum of three years’ experience directly related to the specified duties
Combination of education and experience may be considered
Skills That Will Ensure Your Success in the Role:
Knowledge of the University of Regina community, academic programmes, post‑secondary student records principles, policies and procedures
Database and records management and/or maintenance skills
Knowledge of University policies and procedures including registration, UR Docs, Banner, Degree Audit, graduation and convocation, and transfer credit; knowledge of PLAR is an asset
Demonstrated knowledge of and skill in office practices, principles and procedures
Ability to evaluate student transcripts and/or records
Ability to make effective administrative/procedural decisions and recommendations
Excellent customer service skills, including tact and diplomacy, while displaying a positive attitude
Ability to take direction and show initiative
Ability to develop and maintain strong working relationships with internal administrative counterparts, instructors, partners and staff as well as external to CCE and the University
Ability to consistently organise, coordinate and balance multiple competing demands and responsibilities
Ability to maintain confidentiality of records and information
Ability to work as part of a team, including strong communication skills and the ability to deal courteously and effectively with students, the general public and co‑workers
Ability to communicate effectively, both orally and in writing
