Overview Administrative Assistant role providing general office and administrative support to ensure efficient operation of the office. The position may involve answering and directing phone calls, scheduling, preparing reports and presentations, organizing meetings, coordinating travel, and maintaining filing systems.
Responsibilities Answer and direct phone calls; screen and route callers to appropriate parties
Handle office tasks such as filing, generating reports and presentations, and preparing materials for meetings
Organize and schedule appointments; provide real-time scheduling support and conflict prevention
Plan meetings, take detailed minutes, and coordinate travel arrangements (flights, car rentals, hotels, and restaurant reservations)
Produce and distribute emails, memos, letters, faxes, and forms; maintain professional written communication
Assist in preparation of regularly scheduled reports; develop and maintain filing systems
Create presentations and conduct basic research using computer tools
Support the team with organizational and communication tasks; update office policies and procedures
Maintain supplies inventory, monitor stock levels, and place expediting orders as needed
Liaise with executive and senior administrative staff to handle requests from senior managers
Provide general administrative support and ensure smooth office operations
Qualifications Proven experience as an Administrative Assistant, Virtual Assistant, or Office Admin Assistant
Associate’s Degree in a related field
3 years of administrative experience
Proficiency in MS Office (Excel and PowerPoint emphasized)
Strong time management and ability to prioritize; multitasking capability
Excellent organizational skills and professional communication
Desire to be proactive and provide a positive experience for others
Multilingual abilities may be preferred or required
Benefits Salary: $23.32 - $32.00 per hour
Minimum 3 years of experience required
Full-time role with standard office hours; opportunities for growth
