- Match purchase orders and receiving documents to invoices and process approved invoices for payment.
- Reconcile vendor accounts, file, and perform other clerical duties as required.
- Bi-weekly review of A/P reports (including A/P Aging and non-invoiced Receipts) with follow-up on all open items.
- Maintain all A/P files, including archiving, shredding, and setting up new vendor accounts.
- Assist with compiling/preparing Form 1099, including collection of W-9s and tracking Form 1099 payments to vendors.
- Ensure that all invoices are properly authorized for payment.
- Perform periodic audits of freight bills in accordance with specific money limits.
- Review vendor statements for unpaid invoices or open credit balances and follow up accordingly.
- Identify and recommend process improvements to enhance efficiency.
- Handle special projects as required or assigned.
- Be accountable for regular and consistent attendance.
- All other duties as assigned.
- Must have accounting background, including understanding of inventory and expense transactions, and Sales & Use Tax and Form 1099 reporting compliance issues.
- High degree of computer literacy including experience with ERP-integrated accounts payable systems, plus working knowledge of Microsoft Office, including Excel and Word.
- Ability to maintain the confidentiality of financial data and results.
- Excellent verbal and written communication skills as required to interface with other departments and company personnel in a service function.
- Position requires exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects.
- High School diploma or equivalent.
- AA or BS degree in finance, accounting, or similar field preferred.
- 3-4 years of industry experience, preferably with a manufacturing company.
