Academic Support Specialist – University Transfer Liberal Arts

Position SummaryUnder the general supervision of the Dean of the School Of University Transfer – Liberal Arts, the Academic Support Specialist provides comprehensive administrative support and coordination for academic programs, departments, and teams across the college. The role serves as a central resource for administrators, faculty, staff, students, and community partners, ensuring smooth operations and effective communication. Responsibilities include managing schedules, coordinating events, maintaining records, and supporting program activities.
Strong organizational skills, attention to detail, and ability to work independently and collaboratively in a fast‑paced environment are required.
- Deliver experiential learning recruiting and support (e.g. work study, internship, art models, field trips, global education, etc.)
- Refine and maintain School of University Transfer – Liberal Arts pages of the Nicolet College website by working with faculty to revise and create content.
- Support external partner relations (build contact lists, make professional inquiries, deliver presentations, etc.)
- Explore potential course equivalences between Nicolet College courses and those of other institutions.
- Assist with scheduling needs by coordinating appointments and booking meeting spaces.
- Utilize institutional software systems for course scheduling and reporting functions.
- Provide support to faculty, including onboarding, scheduling assistance, and access to institutional resources.
- Assist with travel arrangements, including registration, transportation, and lodging.
- Assist with planning and executing special events, including recruitment and outreach activities.
- Engage in college‑wide initiatives by participating in committees, projects, student‑focused activities, and events.
- Ensure compliance with state, federal, and grant reporting requirements.
- Develop and maintain collaborative relationships with external partners.
- Organize and coordinate departmental and advisory committee meetings.
- Collaborate with faculty and other staff to support student learning needs.
- Serve as the primary point of contact for student inquiries.
- Administer budget processes, monitor expenditures, process purchases, manage procurement cards, and prepare financial summaries.
- Assist with inventory and manage instructional resources.
- Maintain accurate documentation for courses, schedules, academic records, and official communications.
- Develop and distribute internal communications, promotional materials or newsletters; collaborate with marketing to produce informational content.
- Ability to manage multiple priorities, organize tasks, and meet deadlines.

- Associate degree in administrative support (or within six months of receiving the degree), office management, business, or a related field.
- Minimum two years’ experience in office, academic, or program support.
- Proficiency in Microsoft Office Suite and ability to learn other institutional systems and software.
- Bachelor’s degree in business, administrative support, or a related field.
- Two years of experience in academic or event coordination settings.
- Proficiency and experience with additional technology applications (e.g., office applications, ERP systems, LMS, curriculum management systems, design applications).
Level 1:
Minor physical exertion required. Most work occurs in an office or at a workstation.
Hourly pay range: $24.51–$28.01. Includes a comprehensive benefits package.
