Job Overview
Working in a highly pressurised environment to provide a professional, efficient and effective administrative service for the Department. Using initiative in sometimes complex situations to ensure that patients are booked in line with local and national Access targets.
Work as part of a team, supporting other team members to deliver the Access targets and a patient focused booking service.
Main Duties of the Job- Obtain case notes for the Department on a timely basis from various locations on Glan Clwyd’s site, including the Medical Record’s Department.
- Organise clinic letters and distribute them to relevant GP surgeries.
The ability to speak Welsh is desirable for this post;
English and/or Welsh speakers are equally welcome to apply.

Person Specification QualificationsEssential Criteria
- Good standard of general education.
- NVQ 2 or equivalent.
- Knowledge of WPAS/ Hospital administration systems.
- Experience with in an office environment involving customer service.
- Knowledge of Data Protection Act.
- Awareness of Patient Confidentiality.
- Ability to use a variety of computer databases. RADIS, TPATH, PAS and Microsoft office packages.
- Previous medical records or hospital based clerical experience.
- Proven communication skills.
- Computer Literate.
- Able to meet tight deadlines and able to prioritise workload.
- Frequent and prolonged use of VDU's.
- Frequent and prolonged use of telephones.
- Excellent communication and organisational skills, with the ability to demonstrate initiative in response to demands of the workload.
Essential Criteria
- Awareness of local/National Waiting List Management Policy and knowledge of Waiting times.
- Understanding of the reporting structure in terms of supervision.
- Understanding the aims and objectives of the Modernisation Agenda.

- Ability to remain calm when patients are aggressive and abusive.
