Job Summary

The Post-Closing Specialist ensures all real estate transactions are accurately completed, recorded, and delivered in compliance with company standards, lender requirements, and state regulations. This role is responsible for auditing closed files, managing final policy production, coordinating with county offices, and maintaining accurate records in the title production system.

Essential Duties and Responsibilities
  • Reviews closed loan transaction completeness and accuracy prior to final delivery.
  • Verifies that all executed documents (deed, mortgage, affidavits, closing statements, etc.) are properly signed, notarized, and included.
  • Ensures all funding conditions are met.
  • Submits documents for recording and monitor return status through county offices or recording vendors.
  • Tracks and resolves rejected recordings, ensuring timely correction and resubmission.
  • Uploads final recorded documents and title policies to lender portals and production systems.
  • Works closely with the escrow, recording, and policy departments to clear outstanding items.
  • Prepares and delivers final title insurance policies, including lender and owner policies, ensuring premium accuracy.
  • Maintains accurate logs for recordings, rejections, and policy deliveries.
  • Supports compliance and audit reviews, ensuring all post-close processes align with company and regulatory standards.
  • Supports business overflow and performs other duties as assigned.
Position Requirements Education
  • Associates degree or equivalent related work experience required.
  • High school diploma or equivalent required.
Experience
  • Minimum 1 year of experience in the title or escrow industry, preferably in post-closing, recording, or policy departments.
Functional/Technical Skills
  • Strong understanding of title documents, recording requirements, and closing packages.
  • Familiarity with production and recording software/sites (e.g., Res Ware, Soft Pro, Ram Quest, AtClose, Simplifile or CSC).
  • Excellent attention to detail and organizational skills.
  • Ability to manage multiple files in a high-volume, deadline-driven environment.
  • Effective written and verbal communication skills

Work is typically performed in a standard office environment.
