Adecco is currently hiring an Executive Assistant for a full-time opportunity in Richmond, BC. This role is ideal for an experienced administrative professional who excels at supporting senior executives, managing complex schedules, and coordinating high-level business operations in a fast-paced corporate environment.
In this position, you will provide executive-level administrative support, manage calendars and travel arrangements, prepare confidential documentation, coordinate meetings and events, and serve as the primary point of contact for the Executive's office.
  • Pay Rate: $75,000 - $105,000 per year, based on experience
  • Location: Richmond, BC
  • Schedule: Monday to Friday
  • Employment Type: Full-Time | Permanent
Responsibilities
  • Provide executive-level administrative support and act as the primary point of contact for the Executive's office.
  • Proactively anticipate the Executive's needs and manage daily priorities.
  • Manage complex calendars, schedule meetings, and coordinate appointments with internal and external stakeholders.
  • Act as a gatekeeper by prioritizing requests and ensuring efficient use of the Executive's time.
  • Screen and route phone calls, emails, correspondence, and inquiries appropriately.
  • Draft confidential reports, letters, memos, agendas, presentations, and other business documents.
  • Coordinate domestic travel arrangements, including flights, hotels, transportation, and itineraries.
  • Prepare and submit accurate expense reports.
  • Compile monthly operational reports, safety reports, equipment meeting reports, and other executive reporting.
  • Take meeting minutes during Operations meetings and distribute follow-up documentation.
  • Organize Operations Leadership Team meetings, including room bookings, catering, meeting materials, and logistics.
  • Coordinate employee engagement activities, office events, recognition initiatives, and celebrations.
  • Support special projects and provide additional senior administrative assistance as required.
  • Collaborate with internal departments to support the overall success of the Operations team.
Qualifications
  • Must be legally eligible to work and reside in Canada.
  • Undergraduate degree in Business Administration or a related diploma.
  • Minimum 10 years of experience supporting senior executives in a corporate environment.
  • Experience working with Executive Officers, Senior Management, and leadership teams.
  • Construction industry experience is considered a strong asset.
  • Advanced proficiency with Microsoft Office Suite, including Excel, Word, Outlook, PowerPoint, and Visio.
  • Excellent organizational, time management, and multitasking skills.
  • Proven ability to manage confidential and sensitive information with discretion.
  • Strong written and verbal communication skills.
  • Exceptional attention to detail and follow-through.
  • Ability to prioritize competing deadlines in a fast-paced environment.
  • Strong relationship-building and interpersonal skills.
  • Positive, collaborative, and proactive approach to supporting executive leadership.
