Description Overview and Purpose of the Role

Reporting directly to the Director of Procurement and Contract Management, Interoperative Supply Coordinator is responsible for the procurement, inventory management, and distribution of surgical supplies to support safe and efficient operations within the Schroeder Ambulatory Centre. This role provides support to the clinical teams in gathering patient‑specific supplies that align with the preference card list and assist with the set-up of the clinical equipment in the operating room at the direction of the nursing team.

The role is responsible for maintaining clinical service‑specific supplies in the operating room, and service‑specific specialty supply inventory levels. The role also assists in quality projects and process improvement initiatives in collaboration with the quality and leadership teams, ensuring the right products are available at the right time through proactive forecasting, vendor coordination, and inventory optimization. The position works collaboratively with clinical teams, Medical Device Reprocessing Department (MDRD), Supply Chain, and external vendors to support surgical services while promoting cost‑effective and standardized supply utilization.

This is a non‑clinical support role with no direct patient care responsibilities.

Key

Duties & Responsibilities:

Procurement & Supply Chain Coordination
  • Coordinate procurement of surgical supplies including creation and follow‑up of purchase orders, management of back orders, and identification of suitable product substitutions.
  • Liaise with vendors regarding product availability, pricing, trials, and issue resolution in collaboration with leadership.
Inventory Management &Control:
  • Employ par level and first‑in/first‑out methodologies to avoid both out‑of‑stock situations and expired items
  • Analyze supply utilization trends and surgical volumes to forecast demand and optimize inventory levels.
  • Conduct regular inventory checks to identify expired products and recalls.
  • Maintain accurate inventory records using electronic inventory management systems.
Logistics, Receiving & Storage
  • Receive and verify incoming supplies for accuracy, completeness and product integrity.
  • Ensure appropriate storage of supplies in accordance with organizational policies, WHMIS requirements, and safety standards.
  • Coordinate distribution of supplies to operating rooms and clinical areas to support procedural readiness.
Clinical Collaboration & Operational Support
  • Proactively review OR cases 24 hours /48 hours / a week in advance (as required) to identify supply needs for specific Reviews the daily and weekly surgery schedules to anticipate supply needs for the ORs.

  • Exercise independent judgment to coordinate the picking and delivery of Works with MDRD and Supply Chain to ensure that OR supply availability meets the demands of surgical patient care.

Quality Improvement & Cost Optimization
  • Support cost‑containment initiatives through product standardization, evaluation of alternatives, and reduction of supply waste.
  • Support evaluation and trial of new products in collaboration with clinical and leadership teams
  • In collaboration with the Nursing Team Leaders identify opportunities to adjust the pick list and preference cards reflected by trends.
  • Actively participates on the Quality Assurance Committee and on OR quality improvement and efficiency projects (pick lists, on‑time starts).
Safety & Compliance
  • Follow WHMIS and infection prevention and control (IPAC) standards in handling supplies.
  • Reports safety issues and problems/needed repairs
