Are You the Organized Wizard We Need to Power Our Projects? Are you a highly organized and detail-oriented professional with a passion for supporting project success? We are seeking a Project Administrator who is not just proficient in administrative tasks but also possesses a flair for taking projects and helping them run more efficiently and help our very busy project managers.
If you have a strong command of software tools like Microsoft Word and Excel, a knack for numbers, have initiative and self-starting abilities, and can streamline project processes, you might be the perfect fit for our team.
Key Responsibilities:
- Collaborate closely with Project Managers to provide administrative support, including preparing internal and external correspondence, financial reports, and project-related documents.
- Utilize your accounting and/or bookkeeping background to verify project contracts, charges, accounts payable and receivable.
- Completion and management of client and subconsultant contracts, review of contract terms, and issuance of work authorizations.
- Tracking of scope, budgets, and schedules of subconsultants.
- Oversee the maintenance of project files and historical data, conduct research, and provide information as needed. Ensure clarity, consistency, and accuracy in all documents and marketing materials.
- Handle classified and unclassified correspondences, documents, and reports related to projects. Efficiently manage communication with clients, governmental agencies, and other organizations.
- Attend meetings, take detailed notes, and prepare meeting summaries. Compose and prepare business correspondences.
- Assist with management of project deliverable timelines and budgets.
- Proofread documents and edit technical project documents and marketing materials for format, language, content, and tone.
- Assist in the preparation of proposals to secure new projects.
- Establish and maintain organized files and record-keeping systems essential for project management.
- Obtain and compile data under general direction for various studies and reports.
- High school diploma or equivalent, along with a minimum of five (5) years of relevant experience OR a college graduate in administration or a related field.
- Demonstrated writing proficiency and advanced knowledge of MS Word.
- Ability to work with documents both conceptually and at a detailed level.
- Strong organizational skills and the ability to set priorities effectively.
- Proficiency in compiling and extracting data for studies and reports.
- Excellent and effective client relations, communication, and interpersonal skills.
- Capability to handle multiple tasks and thrive under pressure.
- Team player with the ability to interact with diverse personalities.
- Bachelor's Degree in English, Journalism, Communications, or Business, along with at least two (2) years of progressively responsible experience in a related field.
- Any equivalent combination of training, education, and experience that showcases your ability to excel in this role.
This role operates in an office environment, involving sitting, standing, talking, corresponding, and typing.
Salary Range: is $25.00 to $35.00 per hour, DOE
