The Accounts Payable Specialist is responsible for managing day-to-day accounts payable operations for a multi-location organization. This role plays a key part in supporting accurate financial records, maintaining positive vendor relationships, and ensuring timely processing of invoices and payments. The ideal candidate is detail-oriented, highly organized, and comfortable managing multiple priorities in a fast-paced environment.
Key Responsibilities- Manage daily accounts payable functions, including processing invoices from vendors and suppliers
- Ensure accurate and timely payment of invoices and scheduled disbursements
- Match invoices to purchase orders and receiving documentation, as applicable
- Prepare and process check runs and electronic payments
- Set up and maintain vendor accounts, including verification of required documentation
- Maintain well-organized and accurate accounts payable records
- Act as a primary point of contact for vendors regarding invoices, payments, and account inquiries
- Partner with internal teams across multiple locations to resolve invoice discrepancies
- Build and maintain strong vendor relationships through clear and professional communication
- Reconcile vendor statements and assist with month-end close activities related to accounts payable
- Prepare accounts payable reports and schedules as requested
- Support internal and external audit requests with appropriate documentation
- Identify opportunities to improve accounts payable processes and efficiencies
- Handle sensitive financial information with confidentiality and professionalism
- Perform additional accounting or administrative duties as assigned
- Required:
- Prior experience in accounts payable or general accounting
- Strong attention to detail and accuracy
- Ability to manage competing deadlines and prioritize effectively
- Proficiency with Microsoft Excel and other Microsoft Office applications
- Excellent organizational, time-management, and communication skills
- Ability to work collaboratively in a team-oriented environment
- Preferred:
- Bachelor’s degree in accounting, finance, or a related field
- Experience working with accounting software or ERP systems
- Experience supporting a multi-location or operationally complex organization
