Child Development Center Administrative & Office Specialist
Position provides frontline administrative support to childcare operations at the assigned Child Development Center campus, primarily serving the site Program Director. The role is essential and may require reporting to work or fulfilling duties during college or campus closures due to weather or other emergent conditions.
- Provides front desk coverage, logs children in and out, answers program and service questions, and informs parents about policies and procedures.
- Ensures child registration and enrollment paperwork is complete and current.
- Accepts telephone calls and responds to inquiries, referring calls to supervisor or other personnel when appropriate.
- Maintains accurate USDA food program records and records payments according to proper procedures.
- Prepares necessary daily, weekly, and monthly reports in compliance with reporting policies and procedures and submits them in a timely manner.
- Monitors all supplies and resources, notifying supervisor of items that need to be ordered.
- Interacts professionally with employees, parents, and local community members.
- Maintains confidential filing system and records on site and electronically.
- Observes program participants for signs that may indicate illness, abuse, or neglect and reports as directed.
- Incumbent is a mandatory reporter to Child Protective Services as required by local policy in the case of suspected incidences of child abuse and neglect.
- Must be at least 18 years of age and have completed high school or equivalent.
- Demonstrates skill in problem solving techniques and applies sound judgment in resolving customer related issues.
- Shows knowledge of proper business phone etiquette and provides superior customer service.
- Demonstrates computer competency including data entry, database, spreadsheet, word processing programs, internet navigation, and electronic mail.
- Can communicate effectively orally and in writing with a diverse public, including drafting reports and correspondence.
- Works in a fast-paced environment while maintaining harmonious working relationships with internal and external customers.
- Can lift and maintain 40 pounds.
