Duties & ResponsibilitiesThe Conference Coordinator assists with the day-to-day planning and execution of hosting summer overnight conferences, camps, and programs in on-campus residence halls for the University. The Conference Coordinator operates to ensure that events proceed flawlessly as planned. The Conference Coordinator is the liaison for all logistics and management of overnight summer groups hosted on campus. Primary responsibilities include coordinating all reservations and services for lodging, housekeeping, parking, dining, meeting space, campus safety, technology, etc.
The Conference Coordinator intends to ensure the satisfaction of all guests and success for all guest events and activities during their stay on campus.
- Handles all customer inquiries regarding possible reservations
- Prepares all records, including contracts; completes and tracks forms; composes correspondence, including all information for guests confirming reservations and requesting additional materials as necessary; keeps records for each client and ensures the security of information following all applicable policies and laws
- Processes and records all payments in compliance with established University and State policies and procedures
- Assists with the implementation of summer programs, camps, and conferences, including but not limited to:
Customer Service, Scheduling, Group Check-Ins/Outs, Student Supervision, and day-to-day support for camps and conferences - Assists with support operations for isolation and quarantine of residents throughout the academic year
Minimum Qualifications
- Bachelor's Degree or equivalent professional experience
- Ability to communicate effectively in both oral and written form
- Ability to handle difficult and stressful situations with professional composure and customer service
- Ability to understand and follow instructions and work independently
- Proficiency in Office software to include Microsoft Word, Excel, PowerPoint, and the Internet, and Google Workspace
- Strong interpersonal skills, including an ability to analyze and solve problems
