Duties & Responsibilities:

Reporting to the VP for Academic Planning and Institutional Effectiveness, the Academic Program Proposal Coordinator plays a critical role in supporting the university's academic planning and program development processes. This position coordinates the preparation, review, and submission of academic program proposals, modifications, and organizational change requests to internal governance bodies and the external regulatory agencies of State Council of Higher Education for Virginia (SCHEV) and the Southern Association of Colleges and Schools Commission on Colleges (SACSCOC).

The ideal candidate will demonstrate strong writing, editing, and project management skills, with an ability to interpret policy and regulations.

Responsibilities:
  • Edit, refine, proofread, and format proposal narratives and supporting documentation to ensure clarity, consistency, and alignment with SCHEV and SACSCOC standards.
  • Coordinate the preparation, review, and submission of proposal documents for institutional, SCHEV, and SACSCOC review
  • Maintain detailed records of proposal progress and approvals through internal and external review processes.
  • Interpret and apply state and institutional policies related to program approval, accreditation, and reporting to proposal writing and revision process.
  • Develop and maintain reference materials, process guides, and templates to support proposal preparation and training efforts along with maintaining accurate copy of team website.
  • Support special projects related to academic planning, accreditation, and compliance reporting.
  • Serve as a support to academic units, providing guidance on templates and approval timelines.
  • Manage documents repositories and institutional records while supporting continuous improvement in proposal development workflows, document management, and communication processes.
Minimum Qualifications:
  • Demonstrated ability to work in and foster an environment of respect, professionalism and civility with a population of faculty, staff, and students from all backgrounds and experiences, or a commitment to do so as a staff member at VCU.
  • Master's degree in education, social sciences, English, or related field.
  • At least three years of professional experience in academic affairs, curriculum development, accreditation, or related administrative areas.
  • Exceptional written communication and editing skills, with demonstrated ability to produce concise, persuasive, and technically accurate documents.
  • Strong project management and organizational skills with attention to detail and competing deadlines.
  • Proven ability to work collaboratively with diverse stakeholders across academic and administrative units.
Preferred Qualifications:
  • Teaching or training skills preferred
  • Direct experience developing or managing proposals for SCHEV and/or SACSCOC.
  • Ability to interpret and apply complex policies, procedures, and standards.
  • Some experience providing data support to a variety of audiences.
  • Some experience managing data and generating reports.

Salary Range: $50,000 - $60,000
