The Patient Access Supervisor manages and provides operational oversight to the department and business functions of the assigned area, ensuring efficient and effective operations across multiple clinic and geographic locations. The role may include reception, insurance verification, patient scheduling, registration, and co‑pay/co‑insurance collection. The supervisor optimizes staff performance through workload coordination, reassignment, and feedback, while monitoring and maintaining performance improvement results to ensure consistent patient service expectations.
Responsibilities- Supplies operational oversight of department business functions.
- Monitors and maintains performance improvement results.
- Ensures staff exhibit patient service expectations consistently.
- Monitors workflow and makes alterations as needed.
- Serves as contact and liaison with other departments.
- Identifies and implements process changes to improve patient services and staff productivity.
- Partners with management to address issues that require immediate attention such as policy violations or conflicts of a sensitive nature.
- May be responsible for access to and/or contact with medications and related supplies. Independent Actions Required
- Supervises assigned staff and daily operations of areas and evaluates performance.
- Coordinates and delegates daily work assignments.
- Monitors workflow and makes alterations, as needed.
- Serves as contact and liaison with other departments.
- Identifies and implements process change to improve patient services and staff productivity.
- Partners with management to address issues that require immediate attention.
- Meds and related supplies access may be required.
- Hires, trains, and mentors assigned staff.
- Approves/denies leave requests.
- Evaluates performance of all FTEs.
- Participates in disciplinary actions.
- Manages/oversees other areas in the absence of the manager.
- Keeps employees abreast of priorities, activities, and procedural/policy changes.
- Implements, enhances, and monitors ongoing initiatives designed to reduce errors and improve patient services.
- Analyzes policies, procedures, and workflow/processes and recommends changes.
- Two (2) years of patient scheduling/registration work experience in a healthcare setting (e.g., academic medical center, doctor's office, medical practice).
- Experience with medical terminology, medical insurance, HMO, managed care, electronic medical billing/order entry/registration systems, appointment scheduling, and medical coding requirements.
- Previous experience with Microsoft Office applications (intermediate level) and e‑mail/calendaring.
- One (1) or more years of previous supervisor/management experience.
- Associate Degree in Healthcare Administration, Business Administration, Finance, Accounting, or a closely related field from an accredited institution, or an additional four years of work experience may be considered in lieu of education.
- Completion of medical terminology and/or other healthcare‑related courses.
- Bachelor's Degree in Business, Accounting, or a closely related field from an accredited program.
- Must be flexible to work off‑shifts and weekends as needed based on operational needs.
- May be considered part of essential staffing, depending on the assigned area.
