Scheduling & Billing Specialist
Remote position Monday‑Friday 8:30 am‑5 pm
Primary Function / General Purpose of PositionThe Scheduler is responsible for coordinating and scheduling patient testing and procedures, interacting with physician offices, other health care providers, and staff across departments to ensure patients are scheduled promptly. The role includes entering patient data into the computer system and completing general office work. The Scheduler may also serve as a receptionist for patients.
Essential Job Functions- Prepares, posts, and distributes daily schedules; reviews and updates the schedule daily; communicates any changes affecting the next day’s schedule to appropriate personnel.
- Maintains and secures replacement staff to meet required staffing guidelines and communicates staffing needs to the off‑shift supervisor and director; reports all issues to leadership.
- Reviews and corrects weekly attendance sheets to ensure accurate payroll; approves or disapproves PTO and vacation requests according to established nursing guidelines and labor contracts; tracks and completes attendance actions for supervisor review; maintains agency information including orientation checklists, usage reports, and completion verification.
- Verifies patient information from physician’s offices, equipment needs, special requests, and positioning; communicates special equipment, instruments, and supply requests to appropriate staff; verifies all patient names, procedures, surgeons, and times with Registration/Admitting.
- Ensures correct orders, diagnosis, and clinical history is collected and entered into the computer system.
- Provides hospital‑approved instructions regarding test preparation to physician office staff and/or patients; answers questions about testing, scheduling, and preparation; refers patients to specialty area staff instructions when necessary.
- Maintains patient records from the previous day, ensuring all records are accounted for; maintains surgical logbook as needed; compiles daily census statistics and distributes reports.
- Obtains necessary insurance pre‑authorization and pre‑certifications; responsible for prior authorization and registration functions.
- Ensures accurate patient identification by consistently verifying two patient identifiers in accordance with hospital policy and patient safety standards.

EducationHigh School Diploma or GED (required)
Associate degree in business, healthcare, or related field (preferred)
Work Experience2 Years Of Previous Scheduling And Payroll Experience (preferred)
