Overview

Events Coordinator

The position involves planning, implementation, coordination, and execution of events for Undergraduate Admissions, UC Riverside, and UCOP. The incumbent coordinates all necessary aspects of assigned events, including budgeting, logistical planning, publication management, policy compliance, documentation, and publication inventory. The role requires working with minimal supervision, prioritizing a heavy workload, and delivering excellent customer service to UCR administrators, faculty, staff, students, and guests.

The position also entails community outreach and maintaining relationships with internal and external campus partners.

Responsibilities
  • Plans, organizes, and implements small events or portions of larger events (e.g., symposiums, conferences, program events, banquets, VIP briefings). Maintain professional relationships with internal and external campus partners and manage deadlines.
  • Participates in planning, organizing, and staffing larger or more complex events, with responsibility for specific segments such as parking/transportation, catering, etc. Coordinate RSVPs, registration, and event setup as needed.
  • Develops and adheres to budgets for assigned events and initiatives, provides projected costs, and recommends adjustments to stay within budget.
  • Identifies potential locations and vendors for future events; works with supervisor to plan needs up to one year in advance (e.g., reserving facilities).
  • Oversees operational support staff; assigns roles and responsibilities for staff scheduled to work events.
  • Oversees inventory and workflow of department publications, including delivery, inventory, fulfillment, shipping, reporting, and recycling.
  • Creates event briefings, surveys, and executive summaries for events and initiatives.
Qualifications

Educational Requirements

  • Bachelor’s degree in a related area and/or equivalent experience or training. Required

Experience Requirements

  • 2 - 4 years of related experience. Required
  • Experience organizing, planning, and directing social and professional events for various group sizes; knowledge of professional etiquette. Required
  • Experience researching and working with vendors to secure quality and cost quotes. Required
  • Experience creating and overseeing complex event budgets with analysis and evaluation of outcomes. Required
  • Experience working in an institution of higher education. Preferred
  • Demonstrated experience in full-cycle event planning and execution. Preferred

License Requirements

  • Valid Driver’s License. Required

Special Conditions

  • Must possess or obtain a valid California Driver’s License to drive for event-related needs. Required
  • Background check (FBI and DOJ) required. Required
  • Varied work schedule, including occasional weekends, evenings, early mornings, or Tuesday through Saturday schedule. Required
  • Overtime required. Travel outside of normal business hours. Shift work as needed. Travel requirements. Required

Minimum Requirements

  • Working knowledge of event planning concepts, principles, production, and public relations.
  • Strong organizational skills and calendar management for student and/or volunteer scheduling.
  • Good interpersonal communication and political acumen; ability to represent the campus to various publics.
  • Good judgment, decision-making, and problem-resolution skills; ability to identify issues needing escalation.
  • Ability to work with diverse groups and under pressure to meet deadlines while delivering excellent customer service.

Preferred Qualifications

  • Knowledge of the campus, its programs, policies, mission, objectives, and infrastructure.
