Tues - Thurs 6-8 hrs. per day
Performs accounting functions under the direction of the Chief Financial Officer and assists in the coordination of duties that ensure POLM programs are compliant with both fiscal and contractual policies and guidelines. Responsible for general accounting functions, including preparing journal entries, maintaining balance sheet schedules and ledgers, and account and bank reconciliations. Assisting with monthly closings and account analysis, and supporting the Chief Financial Officer in carrying out the responsibilities of the accounting department.
EssentialFunctions General Accounting Function
- Prepare journal entries.
- Monthly closings and preparation of monthly financial statements.
- Assist in reconciling and maintaining balance sheet accounts.
- Assist with the compilation of monthly reports.
- Assist with in-kind contribution schedules.
- Prepare a daily cash flow report.
- Prepare an analysis of accounts as requested.
- Assist with year-end closings.
- Bank reconciliations (Daily, Monthly, Annually)
- Assist with the year-end audit process.
- Assist with implementing and maintaining internal financial controls and procedures.
- Other duties as assigned.
- Review Quick Books accounts in relation to billable expenses to meet contractual requirements for monthly claims billing.
- Prepare and track claims of various contracts according to the written standards issued by grantors.
- Track and remain current on all fiscal year claim/billing requirements for each assigned contract.
- Track and remain current on all fiscal year allocation assignments for staff in coordination with the Chief Financial Officer, Fiscal Team, and CEO.
- Submit all claims early or on time to the various assigned agencies.
- Log claims in the shared database for Administrative access.
- Assist with making corrections and adjustments to processed billing that are identified during the monthly audits.
- Research A/R inquiries as needed.
- Assist with AR, Payroll, and AP file and claim audits as necessary.
- Report to the Chief Financial Officer and advise of changes to claims billing processes.
- Other duties as assigned.
- Associates degree in accounting, finance, or a related major or equivalent experience.
- Bachelors degree preferred.
- Knowledge of accounting principles and practices.
- Knowledge of finance principles.
- Knowledge of financial reporting.
- Technical accounting skills.
- Knowledge of Quick Books.
- Computer proficiency – MS Suite, Office, Excel, and Teams.
- Previous experience of general accounting.
- Proficiency in relevant accounting software.
- Employment eligibility verification.
- Reliable personal transportation available for occasional banking and other errands.
- Successful completion of background screening.
- Attention to detail and accuracy in accounting procedures.
- Excellent verbal, written, and listening communication skills.
- Ability to work under pressure, meet deadlines, and handle multiple priorities at the same time.
- Ability to work independently and as part of a team.
- Exercise discretion and maintain confidentiality with regard to company accounts.
- Problem analysis and problem-solving skills.
- Project planning, organizing, and scheduling by priority.
- Prolonged periods of sitting at a desk and working on a computer.
- Carrying up to 30 lbs for short distances.
- Bending down and lifting occasionally required.
