Sales & Marketing Coordinator
**** Location : KSA, Jeddah
**** Job Description
** The Public Relations Officer (PRO) / Sales & Marketing Coordinator is responsible for the full executive support of Saudi Arabia and for creating and keeping all the legally required documents related to the operations updated. Also responsible for all the legal documents, procedures, and requirements related to the employees of the property, managing offices, and government agencies (such as the Labor Office, Municipality, etc.).

Coordinates the smooth and efficient running of sales and marketing operational requirements.
** Job Responsibilities
*** Managing the contracted PRO agency, and meeting government official when required representing the company
* Assisting with day-to-day operations related to employee government needs
* Maintaining the strictest confidentiality at all times.
* Producing relevant reports as and when required.
* Performing any other duties as and when required.
* Providing full executive support for the Saudi Arabia General Manager
* Preparing monthly reports and other slide decks or reports as required
* Diary management
* Business-related travel bookings
* Conference, meeting, and associated bookings and administrative support, including regional and local meetings or commercial committees.
* Office setup and management
* Adhering to company policies and procedures at all times
* Supporting the marketing and sales team in coordinating logistical requirements for events and other initiatives.
* Coordinating the procurement process, vendor and purchase order management for all logistical aspects of marketing events and team activities (e.g., Travel arrangements, venue, events, etc.)
* Establishing budget tracking for all the team activities
* Supporting the procurement process, vendor management, and tracking of invoices and payments, including pharmacy delivery notes, etc.
* Coordinating and tracking the distribution and subsequent retrieval of KSA sales materials, contracts, samples, etc.
* Establishing and maintaining the archiving process for department documents, samples, etc.
* Ensuring correct documentation (hard copy & electronic) is filed for all team activities.
** Minimum Requirements
*** University degree
* Fluency in Arabic and English, both written and verbal
* Minimum 2 years of experience in a similar role, or 5 years of experience in general administration
* Experience in the pharmaceutical industry/field is a plus
* Experience living and working in Saudi Arabia
* Strong organizational and time-management skills, with excellent communication abilities
* Exceptional attention to detail, strong focus, and a willingness to learn
* Proven ability to handle sensitive and confidential matters
* Tenacious and self-motivated.
* Excellent customer service orientation
* Excellent IT skills, including competency in MS Office applications (Excel, Word, PowerPoint, SharePoint, etc.)
* Proficient in internet search with the ability to quickly learn new software applications
* Experience dealing with municipalities and government entities such as the Ministry of Labor, Ministry of Commerce and Investment, the Saudi Arabian General Investment Authority (SAGIA) and the Ministry of Foreign Affairs.
* Saudi citizen
