We are seeking a highly organized and proactive Executive Secretary to join our dynamic team in Riyadh, Saudi Arabia. The successful candidate will play a crucial role in supporting the executive management team by providing comprehensive administrative assistance. This position requires a professional with exceptional communication skills, a strong ability to manage multiple tasks, and a keen attention to detail. The Executive Secretary will be responsible for managing schedules, coordinating meetings, and ensuring that all administrative functions run smoothly.

Responsibilities
  • Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and distribute meeting agendas, minutes, and follow-up actions to ensure effective communication.
  • Serve as a liaison between executives and other staff, facilitating communication and collaboration across departments.
  • Maintain and organize confidential files and records, ensuring compliance with company policies and procedures.
  • Assist in the preparation of reports, presentations, and other documents as required by executives.
  • Coordinate office management activities, including supplies procurement and facility maintenance.
  • Handle incoming calls, emails, and correspondence, prioritizing urgent matters and responding appropriately.
  • Support the organization of company events, meetings, and conferences, ensuring all logistical details are managed.
  • Continuously improve administrative processes to enhance efficiency and effectiveness within the executive office.
  • Preferred Candidate
  • Proven experience as an executive secretary or in a similar administrative role in a corporate environment, with a minimum of 2 years of experience.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Strong interpersonal skills and the ability to communicate professionally with stakeholders at all levels.
  • Proficiency in office software applications, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with discretion and maintain confidentiality.
  • Demonstrated problem-solving skills and a proactive approach to work.
  • Fluency in English is required.
  • A Bachelor’s degree in Business Administration or a related field is preferred.
