Overview
Based in Riyadh, the Senior Legal Executive Assistant will be responsible for providing high-level executive, administrative, and practice coordination support to the Partners. The role requires the ability to move beyond transactional support and provide proactive assistance in managing priorities, communications, billing coordination, client-related activities, and day-to-day practice support. The position acts as a key coordination point between the Partners and internal stakeholders, helping to ensure efficient workflow, strong communication, and effective execution of business priorities.
This role reports to the Operations Manager.
- Partner Support & Practice Coordination:
Manage the Partner’s day-to-day operations, including calendar management, travel, expenses, and prioritisation of commitments; proactively manage the Partner’s correspondence and follow-up actions; support business travel planning, including client or business meetings where appropriate; collaborate with internal stakeholders to support the day-to-day coordination of the Partner’s practice and leadership responsibilities; liaise with firm departments to ensure smooth operation of the Partner’s practice and related business activities. - Administrative & Operational Support:
Manage a broad range of complex administrative duties, including scheduling meetings, preparing reports and meeting materials, responding to correspondence, processing expense reports, and handling telephone calls; maintain files and confidential documents in line with firm policies and record retention requirements; organise complex domestic and international travel arrangements, including flights, accommodation, transportation, visas, and detailed itineraries; assist with the preparation of internal and external presentations, including client materials and internal reporting documents. - Client Onboarding, Billing & Relationship Support:
Coordinate and support client onboarding and billing activities for the Partner, working with relevant internal teams to ensure timely and accurate processing; review timesheets, billing information, and related materials prior to billing cycles, and assist in following up on outstanding items where needed; support the organisation and follow-up of key client interactions and relationship management activities; assist with planning and coordination of client meetings, entertainment, and business development-related activities aligned with client priorities. - Business Development & Client Initiatives:
Assist with tracking and coordinating practice-related business development activities, including pitches, client outreach, and follow-up items; support the preparation of client development materials, presentations, and meeting documentation; help coordinate client appreciation initiatives, sponsorship activities, and related outreach efforts where required. - Internal & External Programming Support:
Support internal and external firm events and meetings involving clients and other stakeholders; coordinate logistics, materials, and related research or information gathering in support of firm and client initiatives; act as a liaison with internal teams and external parties to assist with planning and execution of meetings and events.
- High level of integrity and discretion in handling confidential information.
- Strong attention to detail in preparing, reviewing, and proofreading materials, while managing priorities and deadlines effectively.
- Ability to work in a fast-paced environment and manage multiple competing tasks.
- Strong verbal and written communication skills, with the ability to interact effectively with internal and external stakeholders.
- Strong collaboration skills and ability to work effectively across departments.
- High level of initiative, sound judgment, and proactive problem-solving skills.
- Adaptable, flexible, and able to respond to changing priorities.
- Self-starter with a proactive and resourceful approach.
- Bachelor’s degree preferred.
- Minimum of five years of relevant experience supporting senior partners, practice leaders, or executives in a law firm or professional services environment.
- Experience in partner support, billing coordination, client matter administration, and executive-level assistance preferred.
- Advanced proficiency in Microsoft Office Suite and ability to quickly learn internal systems and firm-specific applications.
