Job Description Overview

The Document Controller is responsible for establishing and managing efficient systems for processing all project‑related documentation, including contractor communications, design and construction documents, and other internal or external records. This role ensures accurate tracking, organization, and distribution of documents throughout the project lifecycle.

Responsibilities
  • Plan, organize, and implement systems for efficient document processing of all communications, contractor documents, design documents, construction documents, and other internal or external documents.
  • Establish and maintain a listing of all project documents with proper updating.
  • Prepare, proof‑read, and verify key documents; identify and segregate all documents according to the project numbering system and store them in the project EDMS.
  • Coordinate the flow of documents between the project team and other project stakeholders.
  • Prepare status reports of incoming and outgoing documents on a weekly and monthly basis.
  • Support receipt, tracking, and monitoring of documents using standard document‑management programs, maintain databases, and produce logs, transmittals, and other required reports.
  • Verify the accuracy of incoming and outgoing documents in accordance with document control procedures.
  • Ensure hard copies of documents (drawings at site as required) are maintained and updated.
  • Perform archival of site incoming and outgoing documentation and administrative duties during project close‑out.
  • Perform other responsibilities associated with this position as may be appropriate.
Qualifications
  • Degree or diploma in Office Administration or equivalent.
  • At least 3 to 4 years of relevant work experience.
  • Conversant in using an electronic document management system; experience with Aconex is an advantage.
  • Preferably with at least 2 years of relevant experience in the Middle East.
  • Excellent written and oral communication skills.
  • Relevant experience in document control and management within engineering or construction environments.
