Role Context
The Engineering Coordinator - Facilities will support daily hotel maintenance operations by reporting maintenance concerns, coordinating with supervisors, following up with external providers, preparing written records, and helping departments resolve engineering-related issues. This role supports smooth guest service by ensuring that maintenance matters involving air conditioning, internet, telephone systems, equipment, supplies, safety issues, and emergency coordination are communicated accurately and handled in a timely manner.
The selected candidate will help maintain the service standards expected in a luxury hospitality environment.
- Report maintenance problems, unusual findings, safety risks, accidents, injuries, and unsafe work conditions to the manager or supervisor immediately.
- Coordinate with external vendors and service providers to support resolution of larger engineering issues such as air conditioning, internet, telephone, and facility-related problems.
- Communicate with guests when required to help resolve maintenance concerns professionally and respectfully.
- Coordinate with employees and departments through telecommunication tools to respond to service requests and resolve maintenance matters.
- Prepare, review, and update written documentation including daily logs, business letters, memoranda, reports, and maintenance-related records.
- Check written information for accuracy, completeness, clarity, and proper formatting before submission or filing.
- Prepare merchandise or supply orders, complete requisitions, obtain manager approval, and use appropriate approved vendors.
- Enter, locate, and update work-related information using computers, hotel systems, or point of sale systems.
- Assist local authorities during emergencies, urgent incidents, or natural disaster situations when required by hotel procedures.
- Answer telephones using proper etiquette and communicate clearly with guests, vendors, colleagues, and supervisors.
- Follow all company safety and security policies, complete required safety training, and maintain required certifications.
- Ensure uniform and personal appearance remain clean, professional, and aligned with hotel standards.
- Maintain confidentiality of proprietary information and protect hotel assets at all times.
- Build positive working relationships with colleagues and support the team in achieving shared service and maintenance goals.
- Listen carefully to employee concerns and respond appropriately to support smooth internal coordination.
- Move, lift, carry, push, pull, and place objects weighing up to 10 pounds without assistance.
- Perform additional reasonable duties requested by supervisors to support engineering and facilities operations.
- Some college education or equivalent hospitality, engineering support, administration, or facilities-related learning is preferred.
- Less than 1 year of related work experience is acceptable.
- No supervisory experience required.
- No license or certification required.
- Basic understanding of hotel maintenance coordination, facilities support, vendor follow-up, and service request handling.
- Good communication skills with the ability to speak clearly and professionally with guests, vendors, colleagues, and supervisors.
- Able to prepare and review written documents accurately and completely.
- Comfortable using computers, work systems, point of sale systems, and telecommunication tools for daily coordination.
- Organized, dependable, and able to follow up on maintenance requests, requisitions, approvals, and vendor issues.
- Good attention to detail when handling records, reports, supply orders, and maintenance information.
- Able to work in a luxury hotel environment where service, confidentiality, appearance, and teamwork are important.
- Flexible and calm when handling urgent maintenance matters, safety concerns, or emergency coordination.
