Project Coordinator – Public Art Program
The Project Coordinator will support the PMO Manager in the day-to-day coordination and successful delivery of the Public Art Program.
Working across all project work streams, the Project Coordinator will be responsible for maintaining project trackers, monitoring schedules and deliverables, following up on actions and approvals, coordinating information between teams, and supporting reporting activities to ensure the timely delivery of project objectives.
The role will serve as a key coordination link between the PMO, Artwork Production Managers, Engineering PM, Fabrication PMs, and other project work streams, ensuring project information remains accurate, up to date, and effectively communicated across the team.

- Maintain and update project schedules, deliverables trackers, action trackers, and approval logs.
- Monitor progress across all project work streams and support the timely delivery of project milestones.
- Track and follow up on outstanding actions, deliverables, approvals, and information requests across project work streams.
- Assist in identifying schedule risks, delays, and dependencies, and elevate issues to the PMO Manager as needed.
- Support the preparation and maintenance of project dashboards, reports, and status updates.
- Consolidate project information and progress updates from all work streams.
- Assist in monitoring project timelines, dependencies, and critical milestones.
- Support the preparation of client and internal reporting materials.
- Maintain project records, trackers, registers, and reporting tools.
- Ensure project documentation is organized, accurate, and up to date.
- Support document control and information management processes across the project.
- Support the coordination of project meetings and workshops.
- Prepare meeting notes, action trackers, and follow-up summaries.
- Monitor and follow up on agreed actions and decisions.
- Support communication and information sharing across project teams.
- Demonstrable experience in project coordination, project management, PMO support, or project delivery roles.
- Experience working on multidisciplinary projects involving multiple stakeholders and work streams.
- Strong organizational, planning, and coordination skills.
- Excellent communication and follow-up abilities.
- Proficiency in Microsoft Office, particularly Excel, PowerPoint, and reporting tools.
- Experience with project management and scheduling platforms is desirable.
