Company Description Ali Bin Ali Hospital is a privately owned healthcare facility led by a Saudi family with around 5 years of experience in the medical field, under the leadership of CEO Mr. Waleed Bin Ali. The hospital offers 45 consulting clinics that cover a wide range of medical and surgical specialties and subspecialties. It is equipped with 4 operating rooms, a catheterization laboratory, a fully functional emergency department, and 6 labor and delivery rooms.

The facility also includes 10 intensive care unit beds for adults, 15 intensive care unit beds for premature babies and newborns, a radiology department, and a fully equipped laboratory. This comprehensive setup supports high-quality, multidisciplinary patient care in a modern clinical environment.

Role Description This is a full-time, on-site Executive Secretary role based in Riyadh. The Executive Secretary will provide high-level administrative support to senior leadership, including managing calendars, scheduling meetings, coordinating travel, and organizing appointments. The role involves preparing and formatting correspondence, reports, and presentations, maintaining confidential files, and ensuring proper documentation and record-keeping. The Executive Secretary will handle phone calls, emails, and inquiries, routing information to the appropriate departments and ensuring prompt follow-up.

The position also includes organizing meetings and events, preparing agendas and minutes, supporting company secretarial tasks, and collaborating with internal and external stakeholders to ensure smooth daily operations.

Qualifications
  • Strong clerical skills, including document preparation, filing, data entry, and records management.
  • Excellent communication and customer service skills, with the ability to interact professionally with patients, visitors, and staff.
  • Experience in company secretarial work and executive administrative assistance, including calendar management, meeting coordination, and confidential correspondence.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook) and comfort with office and communication technologies.
  • Strong organizational and time-management abilities, with attention to detail and the capacity to prioritize multiple tasks.
  • Ability to maintain confidentiality, exercise discretion, and work effectively under pressure in a fast-paced hospital environment.
  • Previous experience as an Executive Secretary, Executive Assistant, or similar role; healthcare or hospital experience is an advantage.
  • Diploma or bachelor’s degree in Business Administration, Office Management, or a related field preferred; relevant certifications are a plus.
