Overview
The Executive Assistant will provide high‑level administrative and executive support to the Vice President of Transportation and Defense, ensuring the smooth, efficient, and effective operation of the executive office. Based in Riyadh, Saudi Arabia, and reporting to the Senior Executive Assistant, this role requires exceptional organizational capability, discretion, and the ability to manage complex, fast‑paced workloads in a dynamic environment.
Your role- The Executive Assistant shall provide administrative support to the Vice President of Transportation and Defence – They shall also be directly responsible for:
- Calendar and Scheduling Management – Coordinating and managing the] calendar, scheduling meetings, and ensuring they are well‑prepared for all engagements.
- Travel Coordination – Planning and managing travel arrangements, including booking flights, accommodations, and transportation.
- Meeting Preparation – Preparing agendas, taking minutes, and following up on action items from meetings.
- Communication Management – Handling correspondence, filtering emails, and managing phone calls to ensure the time is used efficiently.
- Project and Task Management – Assisting with the management of various projects and tasks, ensuring deadlines are met and objectives are achieved.
- Confidentiality and Discretion – Handling sensitive information with the utmost confidentiality and discretion.
- Stakeholder Coordination – Acting as a key point of contact for people from both inside and outside the organization; regularly liaising with clients, suppliers and other colleagues at all levels.
- Full understanding and practical application of the organisation's policies.
- Technical Proficiency – Familiarity with office software (e.g., Microsoft Office Suite) and other relevant tools.
- Organisational Skills – Ability to manage multiple tasks, prioritize effectively, and maintain a well‑organized workspace.
- Time Management – Efficiently managing the schedule and ensuring timely completion of tasks.
- Adaptability – Flexibility to handle changing priorities and unexpected challenges.
- Communication Skills – Excellent verbal and written communication skills to interact with various stakeholders and convey information clearly.
