Document Controller based at our Headquarters in Riyadh, Saudi Arabia
.

Role

Purpose:

Document Controller is responsible for managing, organizing, and maintaining project and FM documentation, ensuring accuracy, accessibility, and compliance with organizational standards. The role ensures adherence to ISO 9001 (document control), ISO 41001 (FM systems), and aligns documentation practices with document exchange protocols, supporting smooth workflows, audit readiness, and effective information management across projects and facilities operations.

Technical Knowledge:

Skilled in document lifecycle management, including classification systems, metadata tagging, access control, versioning, and archival procedures. Experienced in maintaining organized, compliant records and supporting efficient information retrieval across projects and FM operations.

Key Responsibility:
  • Document Control & Governance:
    Maintain document control systems ensuring proper version control, approvals, distribution, and archiving.
  • IMS & Compliance Documentation:
    Ensure all IMS documents, SOPs, policies, procedures, and compliance records are properly controlled and updated.
  • Audit & Evidence Management:
    Maintain audit-ready documentation including reports, NCR records, permits, certificates, and compliance evidence.
  • Drawing & Technical Documentation:
    Manage drawings, O&M manuals, asset documentation, and technical submittals.
  • Document Register Management:
    Maintain document registers, trackers, and logs for all project documentation.
  • Workflow Coordination:
    Ensure timely submission, review, approval, and distribution of documents across stakeholders.
  • Data & Record Integrity:
    Ensure accuracy, consistency, and traceability of all documents and records.
  • Stakeholder Coordination:
    Coordinate with FMC team, contractors, consultants, and client teams for document submission and tracking.
  • Reporting Support:
    Generate document status reports, overdue logs, and compliance trackers.
  • Mobilization & Handover Support:
    Support document readiness during project mobilization and handover phases.
  • Continuous Improvement:
    Recommend improvements in document control processes and digital systems.
Systems & Digital Tools:

SharePoint, Microsoft Office Suite, CDE platforms.

Soft

Skills Required:

Detail-oriented, highly organized, strong communication, training delivery skills, process improvement mindset, confidentiality awareness, data security awareness.

Experience:
  • 5+ years in document control, preferably in facilities management, construction, or property sectors.
  • Strong exposure to documentation protocols within FM consultancy or service environments.
  • Minimum IELTS Level 6 or equivalent in English proficiency.
Education:
  • Business Administration, Library Science, Information Management, or a related discipline.
Certification:
  • CDE-related training (e.g., Aconex, Viewpoint, Asite)
