Detailed Duties and Responsibilities
- Coordinate and generate all paperwork and other materials related to project documentation, including engineering drawings, survey reports, acceptance forms, product specifications, modifications, and production schedules.
- Coordinate all activities related to the document control procedure, including technical documents and drawings.
- Review the details of the design and manufacturing process to determine what type of documentation may be required for various phases of a project.
- Monitor and follow up on the status of project schedules and due dates for drawings, specifications, software, technical manuals, and other reports/documents to ensure submission and response to the client within committed deadlines.
- Review and verify project documents for completeness, format, and compliance with end‑customer requirements.
- Prepare and submit project documentation to management for approval and transmit approved documents to the customer.
- Prepare and submit invoices through client portal systems or to the client finance team.
- Act as the point of contact (POC) with the customer for related documentation and invoicing activities.
- Support inventory and material transaction management in terms of documentation such as FATA forms, DN forms, internal stock status, client balance return, etc.
- Control all aspects of project documentation on multiple simultaneous projects, ensuring proper document control support is given to each project in coordination with related design and implementation teams.
- Support design and implementation teams in site surveys and generate TSSR and as‑built documents.
- Create document control and correspondence folders for individual projects, including aspects of the as‑built folder per client requirements, test results, PAT, TI site folder, survey, and LOS reports.
- Produce and maintain document progress reports for Project Managers, team leaders, and line managers.
- Ensure all documentation provided is as per client quality formatting requirements, including corrective template formatting, fonts, style, pagination, numbering, and other activities required to meet client documentation standards.
- Ensure all templates used within the department conform to company standards and match client standards and requirements.
- Generate various document control reports as required internally and by company clients.
- Maintain controlled copies of the latest approved templates, documents, designs, and drawings for distribution to the appropriate teams, subcontractors, and suppliers as applicable.
- Maintain updated records of all approved designs, documents, and drawings and their distribution.
