At Knight Frank, we are seeking an experienced Document Controller to join our Project & Development Services Division in Riyadh, Saudi Arabia, supporting an ongoing PMC commission. This person will play a key role in the successful delivery of the project by implementing and maintaining robust document control systems that promote accuracy, compliance and seamless collaboration across multidisciplinary project teams. Responsibilities
  • Document Management System Implementation:
    Develop and maintain a comprehensive document control system to manage project documentation efficiently.
  • Process Development:
    Establish and enforce document control procedures, ensuring compliance with industry standards and client requirements.
  • Promote best practices and continuous improvement.
  • Quality Assurance:
    Ensure all documents are accurate, up-to-date, and meet quality standards before distribution.
  • Version Control:
    Oversee document revisions, maintaining a history of changes to ensure accessibility to the most current versions.
  • Access Control:
    Manage permissions to ensure sensitive information is accessible only to authorized personnel.
  • Stakeholder Coordination:
    Facilitate effective communication among project teams, clients, and contractors regarding documentation requirements and updates.
  • Audit Preparation:
    Maintain organized records to support internal and external audits, ensuring compliance with legal and contractual obligations.
  • Training:
    Provide training to project personnel on document control processes and systems to ensure consistent application.
  • Continuous Improvement:
    Regularly review and enhance document control processes to improve efficiency and effectiveness.

    Advanced knowledge of document management software, such as Aconex, Procore, or similar tools.

    Ability to prioritize tasks and manage competing deadlines in a fast-paced environment.
Qualifications
  • Bachelor’s degree in business administration, information management, or a related field.
  • At least 4–6 years of experience in document control within the construction, engineering, or real estate sectors, with a focus on large-scale projects.
  • Demonstrated experience in Project Management Consultancy (PMC) roles is highly desirable.
  • Proficiency in international document control standards (e.g., ISO 9001).
  • Certification in document control management (e.g., EDMS certification) is an advantage.
  • Familiarity with local and international legal and contractual documentation requirements.
  • Fluency in English (essential); knowledge of Arabic is advantageous.
