CAA Sports Saudi is seeking a highly organized and motivated Assistant to support the General Manager, Regional Headquarters (RHQ). The role requires strong organizational skills, the ability to multi-task, and personable interaction. This is a fast-paced, international sports and entertainment environment, offering exposure to administrative support for the Head of RHQ, including diary management, calendar ownership, meeting and conference bookings, travel arrangements, expenses, and other project work to support initiatives within the headquarters.
There may also be ad-hoc support for other RHQ members. The ideal candidate will have a keen eye for detail, professional presentation, excellent written and verbal communication skills, and the ability to operate discreetly and confidentially in a VIP environment.
- Prepare presentations, proposals, and adjust pitch decks as directed.
- Take notes at meetings, prepare and distribute minutes as needed.
- Follow up on tasks and manage projects as directed.
- Manage complex diary across multiple time zones.
- Proactively plan and adapt schedules with last-minute changes.
- Arrange meeting and conference call bookings with relevant reminders and preparation.
- Prepare clear and concise travel options; arrange travel and all expenses.
- Liaise with internal and external stakeholders, including CAA employees, business guests, clients, and brand executives.
- Provide occasional support to department heads in the region as required.
- Demonstrate strong organizational and time management skills with attention to detail.
- Maintain a professional, solutions-oriented attitude and the ability to prioritize in a busy workload.
- Proficient in Microsoft Office (Word, PowerPoint, Excel) and able to thrive in a fast-paced environment.
- Ability to work autonomously and as part of a team, with strong verbal and written communication skills.
- Strong work ethic and experience handling high levels of confidentiality; comfortable in VIP and high-profile environments.
- Excellent organizational and time-management skills with meticulous attention to detail.
- Professional demeanor, positive, and solution-focused attitude.
- Ability to prioritize, multitask, and manage a busy workload.
- Proficiency in Microsoft Office (Word, PowerPoint, Excel).
