The Administrative Assistant will provide reliable coordination and documentation support to executives, teams and project stakeholders. The role requires careful management of competing priorities, confidential information and internal processes while maintaining responsive communication with employees, vendors and external contacts.
Key Responsibilities- Manage executive and team calendars.
- Schedule meetings and coordinate room reservations.
- Prepare meeting agendas and supporting materials.
- Organize virtual meetings and related technical arrangements.
- Take meeting notes and prepare follow-up documentation.
- Process correspondence, emails and shared mailboxes.
- Categorize communications and support timely responses.
- Maintain organized digital and physical filing systems.
- Ensure records comply with company policies and procedures.
- Process expense reports and track approval status.
- Coordinate expense matters with Accounts Payable.
- Monitor payment progress and resolve administrative issues.
- Communicate with vendors and internal departments.
- Track invoices and follow up on purchase orders.
- Prepare reports, spreadsheets and organizational documents.
- Maintain accuracy and clarity across administrative records.
- Support special projects and internal initiatives.
- Respond to inquiries from internal and external stakeholders.
- Anticipate routine administrative needs and provide timely support.
- Maintain confidentiality when handling sensitive information.
- Assist with data entry and database maintenance.
- Support project coordination and basic budget tracking.
- Adapt administrative priorities to changing business requirements.
- Contribute to continuous improvement of office processes.
- Bachelor 's degree.
- Minimum five years of relevant administrative experience.
- Proficiency with Microsoft Word, Excel, Outlook and PowerPoint.
- Strong organizational and time-management abilities.
- Ability to prioritize multiple assignments and deadlines.
- Excellent written and verbal English communication skills.
- Demonstrated accuracy and attention to detail.
- Experience working in a fast-paced professional environment.
- Understanding of administrative support and vendor coordination.
- Ability to follow organizational policies and procedures.
- Experience with SharePoint or Microsoft Teams is preferred.
- Familiarity with calendar and scheduling tools.
- Expense-management or Accounts Payable coordination experience is advantageous.
- Knowledge of project coordination and budget tracking is beneficial.
- Experience with data entry and database management.
- Ability to create clear presentations using Microsoft Office.
- Corporate or professional-services experience is preferred.
