The Document Controller provides the information structure required for successful asset handover from construction teams into live city operations. Working primarily through Oracle Aconex, the position maintains accurate records of technical drawings, manuals, warranties, maintenance documentation, and asset-related information so operational teams can quickly locate reliable information when facilities and infrastructure enter service. The role is especially important during digital vesting and asset integration, where incomplete documentation can delay handover, reduce maintenance readiness, and create operational risk.
Careful registration, revision control, metadata management, and quality checks help create an accurate digital record for roads, utilities, parks, buildings, and other completed assets.
- Register incoming drawings, operation and maintenance manuals, warranties, technical files, and supporting documentation in Oracle Aconex.
- Log and classify project records according to approved document control procedures.
- Verify that document titles, numbering conventions, metadata, revision information, and file names comply with established project standards.
- Maintain the master document register and ensure status information is updated as submissions move through review and approval.
- Control revisions so project and asset teams can identify and access the latest approved documentation.
- Distribute technical documents to asset directors, engineers, and other authorised stakeholders using Aconex workflows and transmittals.
- Track outstanding documents and follow up with contractors or project teams when required information has not been submitted.
- Maintain clear electronic records of document receipt, review, distribution, revision, approval, and archive status.
- Asset handover activities will require close attention to the completeness of operational documentation.
- Support the Asset Management team during digital vesting and formal handover processes.
- Verify that contractors provide required operation and maintenance manuals before asset acceptance.
- Track warranty certificates and supporting documentation for newly completed assets.
- Confirm that as-built drawings and relevant technical records have been uploaded to the document management platform.
- Organise documentation according to defined asset categories such as roads, utilities, parks, facilities, and supporting infrastructure.
- Assist asset integration teams in identifying missing or incomplete handover information.
- Maintain logical document structures that allow operational teams to retrieve records efficiently after construction completion.
- Support preparation of documentation required for transfer from project delivery into ongoing asset operations.
- Locate requested drawings, manuals, specifications, warranties, or maintenance documents through Oracle Aconex.
- Respond promptly when field teams require technical information for infrastructure inspections or urgent repairs.
- Ensure retrieved records represent the correct revision and approved document status.
- Assist users in identifying the correct document when multiple revisions or related records exist.
- Maintain efficient indexing and classification so asset information remains accessible throughout its operational lifecycle.
- Review uploaded documents for basic readability, completeness, formatting, and revision accuracy.
- Check that technical files contain appropriate document numbers and classification information.
- Identify incorrectly named, duplicated, incomplete, or poorly formatted submissions.
- Return non-compliant documents to contractors or responsible project teams for correction.
- Verify corrected submissions before updating their status in the document register.
- Help maintain consistent documentation standards across multiple project and asset packages.
- Support routine quality checks of records stored within Oracle Aconex.
- Assist with periodic internal reviews of the document database.
- Compare expected handover deliverables against records received from contractors.
