Role Context The Document Controller will manage controlled project information from initial receipt through review, approval, distribution, revision, archiving, and final closeout. A major focus of the position is expert administration of Autodesk Construction Cloud and other Electronic Document Management Systems, ensuring that drawings, correspondence, contractual records, submittals, RFIs, reports, payment documentation, and site records remain current, searchable, properly coded, and accessible to authorized stakeholders.

Effective document control will help prevent teams from using superseded information, improve response times, strengthen contractual traceability, and provide reliable records for audits, construction management, claims, handover, and final project closeout.

Key Responsibilities
  • Manage project document control activities from mobilization and project initiation through construction, handover, and closeout.
  • Receive, register, classify, track, distribute, update, retrieve, and archive project documents.
  • Administer Autodesk Construction Cloud as a principal platform for controlled design and construction information.
  • Configure and maintain project folder structures, user permissions, document workflows, and access controls within ACC.
  • Support project setup and administration of ACC environments in accordance with approved information management requirements.
  • Ensure document metadata, indexing, coding, references, and classifications are entered accurately.
  • Upload controlled PDF documentation and other approved digital records to ACC and client Contract Management Systems.
  • Maintain consistency between electronic records and required hard-copy documentation.
  • Establish and maintain an organized hard-copy reference library for critical project information.
  • Ensure electronic and physical records remain aligned and readily retrievable.
  • Manage contract documentation through established revision, review, approval, and transmittal workflows.
  • Maintain accurate status information for controlled project documents.
  • Prepare, register, distribute, and track formal correspondence.
  • Process payment requisitions and associated supporting documentation through approved document workflows.
  • Register and control Variation Orders and related contractual documentation.
  • Manage Site Instructions and maintain complete distribution and response records.
  • Track punch lists and related closeout information.
  • Register and maintain Non-Conformance Reports and associated correspondence where required.
  • Maintain controlled records for technical and commercial project issues.
  • Track design and construction submittals throughout review and approval cycles.
  • Maintain RFI records and monitor outstanding responses.
  • Track RFCs and other project-specific technical communication.
  • Maintain controlled records for safety reports and HSE documentation.
  • Register and distribute meeting minutes and track required responses or actions.
  • Maintain progress photographs using suitable indexing and project references.
  • Control engineering and construction drawings and ensure current approved versions are identifiable.
  • Prevent unintended use of superseded, obsolete, or withdrawn documentation.
  • Maintain revision histories for drawings, reports, specifications, and other controlled information.
  • Produce regular reports covering outstanding correspondence, submittals, RFIs, approvals, and required responses.
  • Highlight overdue actions and document delays that could affect project milestones.
  • Provide timely document status information to Project Management and client representatives.
  • Develop document trackers and status reports using accurate EDMS information.
  • Assist project teams with effective use of Autodesk Construction Cloud.
  • Support new-user setup and access administration where authorized.
