Role Context

The Document Controller will maintain the controlled information environment that enables project teams, consultants, contractors, and Client representatives to work from accurate and current documentation. The position goes beyond routine filing by administering Autodesk Construction Cloud workflows, controlling revisions and approvals, monitoring outstanding responses, protecting document traceability, and supporting project audits. Effective document governance in this role will reduce information errors, prevent the use of superseded records, and provide a dependable project history through construction and final close-out.

Key Responsibilities
  • Manage document control activities throughout the complete project lifecycle, from initial setup and document receipt through construction, handover, archival, and close-out.
  • Receive, register, classify, index, distribute, update, retrieve, and archive controlled project documentation according to established procedures.
  • Administer Autodesk Construction Cloud and other approved EDMS platforms used for engineering, design, construction, contractual, and project management records.
  • Configure and maintain ACC project structures including folders, user access, permissions, workflows, document numbering, metadata, and controlled distribution arrangements.
  • Upload and distribute correctly indexed PDF documentation through ACC and Client Contract Management Systems.
  • Maintain alignment between electronic documentation and required hard-copy reference records to support rapid and reliable information retrieval.
  • Control contract document status, revisions, review cycles, approvals, transmittals, and document histories within the EDMS environment.
  • Register and track correspondence, reports, payment requisitions, variation orders, site instructions, punch lists, NCRs, and other controlled records.
  • Monitor submittals, RFIs, safety reports, RFCs, meeting minutes, progress photographs, contract issues, drawings, and related project information.
  • Ensure current approved versions are clearly identifiable and accessible while superseded documents remain appropriately controlled.
  • Produce regular reports identifying overdue responses, outstanding actions, pending approvals, open correspondence, and delayed submittals.
  • Provide project management and Client teams with accurate document status information to support timely decision-making.
  • Assist project personnel with ACC and EDMS usage, including document submission, retrieval, workflow routing, permissions, folder structures, and system troubleshooting.
  • Coordinate document exchanges between internal teams, Consultants, Contractors, Subcontractors, and Client representatives.
  • Investigate incorrect references, missing documentation, duplicate records, workflow problems, revision discrepancies, and metadata inconsistencies.
  • Maintain document numbering conventions, coding structures, naming standards, revision protocols, and filing requirements.
  • Verify that documentation practices comply with Parsons procedures, contractual requirements, Client standards, and applicable quality management controls.
