The Document Controller will provide the information control structure needed to keep a large multidisciplinary project organized, traceable, and audit-ready. The position will manage the movement of technical and administrative documentation from initial receipt through review, approval, revision, distribution, retrieval, handover, and final archive. The role will support Engineering, Design, Construction, Commercial, Planning, Project Controls, Procurement, QA/QC, HSE, consultants, contractors, and client teams by ensuring that current information reaches the correct stakeholders and that superseded, incomplete, duplicated, or incorrectly coded documents are identified before they create downstream project risk.
Key Responsibilities- Receive, register, classify, distribute, track, retrieve, and archive project documents and correspondence.
- Maintain accurate document registers, logs, trackers, and electronic filing structures.
- Apply approved document numbering, naming, coding, classification, and metadata requirements.
- Check incoming documentation for completeness before formal processing.
- Process technical drawings, specifications, reports, RFIs, submittals, correspondence, and transmittals.
- Route documents to appropriate reviewers, project teams, consultants, contractors, and client representatives.
- Monitor review and approval workflows and follow up on overdue actions.
- Track comments, responses, resubmissions, approvals, and final dispositions.
- Maintain strict revision and version control throughout the document lifecycle.
- Ensure superseded and obsolete documents are clearly identified and removed from active use where required.
- Prepare and issue formal document transmittals and controlled submission packages.
- Upload, retrieve, update, and manage project documentation within EDMS and CDE platforms.
- Maintain accurate metadata to support search, reporting, traceability, and retrieval.
- Verify that electronic records remain complete and linked to the correct project package or discipline.
- Identify incorrectly coded, duplicated, missing, or incomplete submissions.
- Coordinate corrective action with responsible project personnel.
- Maintain complete audit trails for document receipt, distribution, review, revision, and approval.
- Support design review cycles by controlling submissions and associated review comments.
- Assist Construction teams with access to current approved drawings, specifications, and technical records.
- Support Commercial and Procurement functions with controlled contract and supplier documentation where required.
- Coordinate information requirements associated with inspections, testing, commissioning, and handover.
- Maintain records of approved technical submittals and construction documentation.
- Work closely with Project Controls and Planning personnel where document status affects project milestones.
- Provide accurate information on outstanding submissions and delayed approvals.
- Prepare document control reports, overdue-document summaries, dashboards, and status trackers.
- Generate registers and extracts required for management reporting.
- Support project teams during internal, client, and external audits.
- Retrieve supporting documentation quickly when evidence is required.
- Maintain project correspondence logs and ensure formal communications remain traceable.
- Protect confidentiality and control access to sensitive project and client information.
- Support implementation of document security requirements within project systems.
- Assist users with document numbering, revision practices, workflows, and EDMS requirements.
