We are seeking an experienced Document Control Manager to lead document management activities on a major rail or metro infrastructure project. This role will be responsible for establishing and maintaining robust document control processes, ensuring that technical, commercial, and project records are accurately registered, securely stored, and available to authorised stakeholders throughout the project lifecycle. The successful candidate will work closely with engineering, construction, design, quality, commercial, and project management teams to support efficient information flow and full compliance with contractual and project requirements.
Key responsibilities will include developing and implementing document control procedures, workflows, templates, and governance standards; managing the receipt, registration, review, distribution, revision, and archival of project documentation; and monitoring document status, approvals, transmittals, and overdue actions. You will oversee document controllers and coordinate with contractors, consultants, suppliers, and client representatives to ensure information is submitted in the correct format and within agreed timescales.
The role will also involve maintaining document registers, producing progress and compliance reports, supporting audits, managing electronic and hard-copy records, and contributing to the continuous improvement of information management systems. A strong focus on data accuracy, version control, confidentiality, and traceability will be essential.
Applicants should have substantial experience in document control or information management within rail, metro, transport, civil engineering, or another complex infrastructure environment. Experience managing document control teams and working with common data environments or electronic document management systems is required; familiarity with platforms such as Aconex, Project Wise, SharePoint, or similar systems would be advantageous. You should be highly organised, detail-oriented, and confident working to demanding deadlines across multiple work streams.
Excellent communication and stakeholder management skills are essential, together with a sound understanding of document control principles, project delivery processes, and quality requirements. A relevant professional qualification or demonstrable equivalent experience is preferred.
