Job Description Document Management & Control- Develop and implement document control procedures, workflows, and standards for the rail project.
- Manage the receipt, registration, numbering, distribution, tracking, and filing of all project documents.
- Ensure all project documentation is maintained in accordance with project requirements and document control procedures.
- Establish and maintain electronic and physical filing systems.
- Control document revisions, approvals, superseded documents, and archival processes.
- Manage engineering, design, construction, testing, commissioning, and handover documentation.
- Coordinate the review and approval workflow for drawings, specifications, technical submittals, and reports.
- Track document status and ensure timely responses from stakeholders.
- Maintain master document registers and transmittal logs.
- Administer Electronic Document Management Systems (EDMS) such as Aconex, SharePoint, Autodesk Construction Cloud, or similar platforms.
- Ensure documents are uploaded, categorized, and maintained accurately.
- Monitor user access permissions and document security.
- Provide training and support to project teams on document management systems.
- Prepare weekly and monthly document control reports.
- Monitor document turnaround times and key performance indicators (KPIs).
- Ensure compliance with client, contractual, ISO 9001, and company document management standards.
- Support internal and external audits related to document control processes.
- Coordinate with project managers, engineers, contractors, consultants, and client representatives regarding documentation requirements.
- Facilitate document reviews and approvals across project disciplines.
- Manage the preparation and compilation of project handover documentation.
- Ensure as-built drawings, operation and maintenance manuals, testing records, and quality records are complete and properly organized.
- Coordinate final document turnover to the client.
- Maintain project archives and records retention processes.
- Lead and supervise Document Controllers and Records Management personnel.
- Allocate workloads and monitor team performance.
- Develop document control training programs and best practices.
- Drive continuous improvement initiatives within document management processes.
- Minimum Education
- Bachelor’s Degree in Business Administration, Information Management, Engineering, Construction Management, or related discipline.
- 10-15 years of document control experience.
- At least 10years in a managerial role on major rail, metro, transportation, or infrastructure projects.
