Office Administrator/ Coordinator, Business Administration
What You Will Do
Manage and coordinate the GMs complex calendar across multiple time zones, ensuring effective prioritization of meetings, travel, and business commitments. Organize internal and external meetings, including scheduling, agenda preparation, meeting materials, logistics, and follow-up actions. Coordinate domestic and international travel arrangements, including flights, accommodations, visas, ground transportation, and detailed itineraries. Act as the primary point of contact for the Executive Office, managing correspondence, requests, and communications with professionalism and discretion.
Prepare and maintain executive presentations, reports, briefing materials, minutes, and confidential documentation. Support leadership meetings, regional business reviews, town halls, executive visits, and board-related activities. Build strong relationships with senior leaders, functional teams, external partners, government stakeholders, and other key contacts across the region. Track commitments, approvals, deadlines, and action items to ensure timely follow-up and execution. Manage expense reports, purchase requests, invoices, and other administrative processes in compliance with company policies.
Support special projects, executive communications, and cross-functional initiatives as assigned. Handle highly confidential business and people-related information with the utmost integrity and discretion.
Bachelor s degree in Business Administration, Management, Communications, or a related discipline; equivalent experience may also be considered. Minimum 5 years of experience supporting senior executives in an Executive Assistant, Personal Assistant, Office Manager, or similar role. Proven experience managing executive calendars, international travel, confidential communications, and senior leadership engagements. Experience working within a multinational and matrix organization is preferred. Advanced proficiency in Microsoft Office applications, including Outlook, Word, PowerPoint, Excel, Teams, and SharePoint.
Fluent English and Arabic language skills, both written and verbal.
