We are seeking a highly organized, proactive, and discreet Executive Office Manager to support the Board of Directors and manage the day-to-day operations of the executive office.
The role will be responsible for coordinating Board calendars, meetings, travel, documentation, correspondence, follow-ups, and communication with internal and external stakeholders. The ideal candidate will have strong experience supporting Board Members, C-suite executives, or senior leadership within a corporate or group environment.
This position requires a high level of confidentiality, professionalism, organization, and attention to detail.
Key Responsibilities- Manage the daily operations of the executive office supporting the Board of Directors.
- Coordinate Board calendars, meetings, appointments, and travel arrangements.
- Prepare meeting agendas, presentations, reports, minutes, and follow-up action items.
- Handle confidential correspondence, documents, and sensitive information with discretion.
- Coordinate communication between the Board and internal and external stakeholders.
- Track and follow up on key decisions and action items to ensure timely completion.
- Organize Board meetings, executive meetings, and corporate events.
- Maintain accurate records, filing systems, and Board-related documentation.
- Liaise with internal departments to facilitate communication and execution of executive directives.
- Support strategic initiatives, special projects, and other assignments from senior leadership.
- Ensure the executive office operates efficiently and maintains high professional standards.
- Bachelor's degree in Business Administration, Management, or a related field.
- 5–8 years of experience in an Executive Office, Office Manager, Executive Assistant, or similar role.
- Proven experience supporting Board Members, C-suite executives, or senior leadership.
- Strong experience managing executive calendars, meetings, travel, correspondence, and confidential documentation.
- Excellent written and verbal English communication skills;
Arabic is an advantage. - Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook; familiarity with Microsoft Teams.
- Strong organizational, multitasking, and time-management skills.
- High level of professionalism, discretion, integrity, and confidentiality.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Experience with in a large corporate organization, holding group, or multinational company is highly preferred.
