Role Context The Permitting Governance Specialist will support the effective operation of the Permitting Governance Framework by maintaining control over procedures, approvals, compliance requirements, records, performance indicators, and stakeholder actions. The position will help create greater visibility across permits and regulatory processes, enabling project teams and management to identify delays, unresolved issues, compliance gaps, and improvement opportunities before they affect delivery.

Key Responsibilities
  • Coordinate implementation and ongoing monitoring of the Permitting Governance Framework.
  • Support permitting procedures, approval workflows, governance requirements, and compliance controls.
  • Maintain accurate records of permits, licenses, approvals, conditions, renewals, and regulatory documentation.
  • Track permitting activities against defined timelines, service expectations, and governance requirements.
  • Maintain KPI and SLA trackers covering permit processing, outstanding actions, approval progress, and stakeholder performance.
  • Monitor risks, issues, dependencies, and action items associated with regulatory and permitting processes.
  • Prepare periodic governance reports, dashboards, management summaries, and status updates.
  • Provide clear visibility of pending permits, delayed responses, approaching deadlines, and unresolved compliance matters.
  • Coordinate with Engineering, Planning, Project Management, Commercial, Operations, and other internal teams on permitting requirements.
  • Liaise with Consultants, Contractors, and government entities to support timely submissions, responses, approvals, and issue resolution.
  • Maintain permitting registers, governance logs, compliance trackers, action lists, and supporting records.
  • Ensure documentation remains complete, current, traceable, and accessible to authorized stakeholders.
  • Support audits and governance reviews by providing required records, evidence, approvals, correspondence, and status information.
  • Assist in identifying control weaknesses, recurring delays, process bottlenecks, and documentation gaps.
  • Support corrective actions and continuous improvement initiatives arising from governance reviews and audits.
  • Maintain SharePoint repositories and ensure approved governance documentation is correctly filed and organized.
  • Support standardization of permitting templates, registers, reporting formats, workflows, and procedural documents.
  • Help define clear responsibilities and escalation routes for permitting and regulatory activities.
  • Monitor compliance with internal governance procedures and external regulatory requirements.
  • Track action closure and follow up with responsible stakeholders on overdue items.
  • Support management in reviewing permit performance trends and identifying areas requiring intervention.
  • Assist with preparation of presentations and governance packs for project and senior management meetings.
  • Use Microsoft 365 tools to coordinate records, reporting, communication, and workflow activities.
