The Contracts Administrator will provide detailed commercial and contractual control from contract award through closeout across hospitality assets including hotels, resorts, F&B venues, fit-out packages, and related amenities. The position will manage design consultancy and construction-related agreements while maintaining strong control over variations, payment applications, claims, cost reporting, contractual correspondence, and operator requirements.
Particular emphasis will be placed on traceable PMWeb workflows, quantity surveying-based valuation, RIBA design stage administration, and the commercial interfaces created by hospitality brand standards, FF&E, OS&E, and specialist fit-out requirements.
Key Responsibilities- Administer contracts from award through closeout across hospitality, resort, F&B, and associated development packages.
- Monitor contractual obligations, deliverables, milestones, notices, approvals, and commercial requirements.
- Manage consultant agreements through applicable RIBA and design development stages.
- Interpret FIDIC, NEC, and bespoke contractual provisions applicable to assigned packages.
- Maintain contract registers, correspondence logs, commercial records, and supporting documentation.
- Manage the complete variation workflow through PMWeb.
- Ensure change events are routed through the correct review, approval, and authorization processes.
- Maintain an auditable record of each variation from identification through final disposition.
- Prepare and update variation trackers with current values, entitlement positions, status, and outstanding actions.
- Assess and value variations using established quantity surveying principles.
- Review Change Orders and supporting substantiation for contractual and commercial validity.
- Assess variation impacts relating to fit-out, FF&E, OS&E, specialist finishes, and hospitality operational requirements.
- Identify unsupported costs, duplicated items, scope overlap, and valuation inconsistencies.
- Coordinate with design, commercial, and technical teams where change events require multidisciplinary input.
- Prepare Interim Payment Certificates for invoicing.
- Review interim payment applications for accuracy, progress evidence, contractual compliance, and approved change.
- Follow up with the Client to support timely certification and payment.
- Evaluate final payment submissions and assist with final account reconciliation.
- Prepare Client cost reports and maintain current commercial dashboards.
- Report committed cost, approved change, pending change, forecast exposure, and payment status.
- Update commercial forecasts to reflect emerging variation and claim impacts.
- Maintain accurate cost records within PMWeb and related project systems.
- Draft responses to contractual letters, notifications, and commercial correspondence.
- Prepare formal notices, determinations, instructions, and contractual recommendations.
- Ensure correspondence protects project and Client contractual positions.
- Review contractor and consultant letters for entitlement, risk, and required response actions.
- Coordinate with schedulers and planners on programme-related contractual matters.
- Review delay notifications and programme correspondence.
- Assist with preparation of responses to extension of time claims.
- Evaluate EOT submissions for contractual compliance and supporting evidence.
- Review prolongation and disruption claims.
- Support delay and quantum assessments with Planning, Project Controls, and forensic specialists.
- Assess claims against contract clauses, records, contemporaneous evidence, and demonstrated cause-and-effect.
- Develop reasoned recommendations on entitlement and quantum.
- Support negotiations associated with variations, payments, claims, and final accounts.
- Assist with dispute avoidance and early resolution of emerging commercial disagreements.
- Support mediation, adjudication, arbitration, or other formal dispute procedures where required.
- Advise project teams on contractual rights, obligations, notice requirements, and commercial risk.
- Identify matters that could create unintended contractual exposure if not addressed promptly.
- Coordinate contractual interfaces between design consultants, contractors, and hotel operators.
- Ensure hotel operator and brand technical requirements are appropriately reflected in contract scopes and design obligations.
- Track changes arising from operator requirements and assess their commercial implications.
- Coordinate hospitality package interfaces where design, fit-out, FF&E, OS&E, and operational requirements overlap.
