Job Description – HR Assistant

Job Title: HR Assistant

Department: Human Resources

Job Level: Administrative / Support

Job Purpose

To provide administrative and operational support to the Human Resources function, assist with employee-related procedures, maintain and update employee records, and follow up on attendance, leaves, and HR transactions in accordance with company policies, procedures, and applicable regulations.

Key Responsibilities

1. Assist with daily Human Resources activities and procedures.

2. Create, maintain, and organize employee files and documents.

3. Enter and update employee information in the HR system.

4. Monitor attendance, working hours, leaves, and absences.

5. Prepare and process leave requests, joining formalities, and employee termination procedures.

6. Assist with recruitment activities and onboarding of new employees.

7. Prepare employee-related forms, documents, and letters.

8. Follow up on employee contracts and renewals as required.

9. Assist in updating employee information on relevant systems and platforms.

10. Prepare HR reports, records, and statistics.

11. Respond to employees’ inquiries regarding HR procedures and policies.

12. Follow up on employee requests and ensure timely completion.

13. Assist with payroll preparation and provide the required employee data to the authorized personnel.

14. Support performance evaluation, training, and development activities when required.

15. Maintain strict confidentiality of employee information, salaries, and personal records.

16. Ensure compliance with company HR policies, procedures, and applicable regulations.

17. Perform any other HR-related duties assigned by the direct manager.

Qualifications
  • Diploma or Bachelor’s degree in Human Resources, Business Administration, or a related field
    .
  • 1–3 years of experience
    in Human Resources or administrative support.
  • Good understanding of basic HR procedures and practices.
  • Proficiency in Microsoft Office
    , particularly Excel and Word.
  • Experience with HR systems and relevant government platforms is preferred.
  • Fluent in English, both spoken and written.
  • Ability to read and understand English correspondence and documents.
  • Ability to prepare and write reports and correspondence in English when required.
  • Ability to communicate professionally in English with employees and relevant parties.
