Job Overview

The Senior Specialist – Digital Systems supports hospitality project platforms, reporting environments, document control systems, automation workflows, and data insights across project and delivery teams. The role involves managing SharePoint, Aconex, Microsoft 365, Power Automate, Power BI, Python, and SQL to enable system rollout, training, troubleshooting, and digital process improvement.

Key Responsibilities
  • Define and support digital platform structures and data models for systems such as SharePoint, Aconex, and related project platforms.
  • Ensure digital systems are scalable, secure, and aligned with business, reporting, and project delivery requirements.
  • Gather, analyze, and document business requirements from users, project teams, consultants, suppliers, and delivery partners.
  • Translate operational needs into system configurations, platform enhancements, workflows, dashboards, and digital solutions.
  • Administer and maintain digital systems, document control platforms, and data environments.
  • Ensure data is accurate, accessible, governed, and aligned with business standards.
  • Support reporting and analytics by structuring data, enabling integration, and contributing to dashboards and visualizations.
  • Develop and support dashboards and reporting outputs using Microsoft Power BI.
  • Support automation of data processes, approval workflows, reporting routines, and system tasks using Microsoft tools and scripting.
  • Use Power Automate, Python, SQL, and related tools to support workflow automation and system enhancements.
  • Support implementation, rollout, and adoption of digital tools and platforms across project teams.
  • Manage document control platforms such as Aconex, ensuring compliance, consistency, metadata quality, and effective information management.
  • Translate technical outputs into clear, user-friendly formats for reports, documentation, presentations, and stakeholder communication.
  • Collaborate across internal teams, consultants, suppliers, and delivery partners to enable smooth data flow between systems, reports, and project activities.
  • Support end users through training, guidance, troubleshooting, system walkthroughs, and practical user support.
  • Prepare user guides, technical documentation, process notes, training materials, and support records.
  • Monitor system usage, data quality, access permissions, content structure, and workflow performance.
  • Identify system issues, data gaps, process inefficiencies, and user adoption challenges.
  • Recommend improvements to digital tools, reporting processes, automation workflows, data structures, and document control practices.
  • Contribute to continuous improvement of systems, tools, and processes to enhance efficiency, data accuracy, and decision-making.
  • Maintain strong attention to detail when managing system records, data outputs, permissions, configurations, and platform documentation.
  • Support project teams in using digital systems effectively within fast-paced project, construction, development, and operational environments.
Qualifications
  • Bachelor’s degree in Information Technology, Computer Science, Data Analytics, Business Information Systems, Engineering, or a relevant discipline.
  • 2-5 years of experience in digital systems, data platforms, reporting environments, document control systems, or project technology support.
  • Experience in project, construction, hospitality, development, or delivery settings is preferred.
  • Strong understanding of Microsoft 365 tools, including SharePoint, Teams, One Drive, and Power Automate.
  • Strong knowledge of SharePoint Online, including site structure, permissions, content management, workflows, and platform configuration.
  • Knowledge of Windows Server and IIS for managing SharePoint environments.
  • Experience working with structured and unstructured data for processing, reporting, analysis, and integration.
  • Familiarity with automation tools and scripting such as Power Automate, Python, SQL, or equivalent technologies.
