Job Description

The Senior Consultant (Information Management) is responsible for establishing, implementing, operating, and continuously improving the organisation’s Electronic Document Management System (EDMS) and the wider Common Data Environment (CDE). The role ensures that information flows, document control processes, data structures, integrations, and digital platforms operate as a cohesive, governed, secure, and compliant ecosystem.

This position ensures alignment between governance frameworks, PMIS, EDMS, CDE, and other enterprise systems. The role combines technical expertise, information governance, and digital ecosystem architecture to support large‑scale programme delivery.

Key Responsibilities

A. EDMS Strategy, Governance & Information Management
  • Establish, configure, and manage the enterprise‑level EDMS and CDE in alignment with organizational governance frameworks, information management standards including ISO
    19650.
  • Define and maintain document control standards, naming conventions, metadata structures, classification systems, and controlled templates.
  • Develop and enforce document management procedures, workflows, and approval processes across all stakeholders.
  • Ensure the EDMS and CDE supports full lifecycle information management—from initiation through design, construction, handover, and operations.
  • Oversee document control operations, ensuring accuracy, completeness, version control, and auditability.
  • Coordinate with Digital teams to ensure alignment between information requirements, metadata, and digital deliverables.
B. Digital Ecosystem & Enterprise Architecture
  • Support the definition and implementation of the digital ecosystem architecture including settingKPIs, integrate the dashboards, and reporting frameworks.
  • Develop integration strategies ensuring seamless data exchange, interoperability, and alignment with governance requirements.
  • Oversee API, middleware, and data‑exchange configurations to ensure secure and reliable system connectivity.
C. Information Flow, Data Quality & Compliance
  • Fully implement the EDMS and CDE system in compliance with Client requirements and deploy the integration with the PMIS and data reporting systems.
  • Establish controlled information flows across consultants, contractors, project teams, and internal stakeholders.
  • Monitor data quality, completeness, accuracy, and compliance with information standards.
  • Implement automated validation rules, metadata checks, and audit trails.
  • Ensure dashboards, reports, and analytics tools are fed by governed, structured, and validated data.
  • Monitor system performance, user behaviour, and compliance trends to identify improvement opportunities.
D. Integration Management & Vendor Coordination
  • Act as the technical and functional coordinator between system vendors, software providers, IT teams, and project stakeholders.
  • Lead integration workshops, technical alignment sessions, and solution design reviews.
  • Ensure vendor deliverables meet enterprise architecture, security, and information governance requirements.
E. Change Management, Training & Stakeholder Engagement
