The Procurement Specialist is responsible for managing procurement activities to ensure the timely and cost-effective acquisition of goods and services while maintaining quality standards. The role focuses on supplier coordination, purchase order management, price negotiations, and maintaining strong relationships with vendors to support business operations efficiently.
Key Responsibilities- Prepare, issue, and follow up on purchase orders to ensure timely procurement and delivery of goods and services.
- Coordinate with suppliers regarding quotations, deliveries, lead times, and order status updates.
- Negotiate pricing, payment terms, and commercial agreements to achieve cost savings while maintaining quality and service standards.
- Build and maintain strong relationships with existing suppliers and identify potential opportunities; compare supplier quotations and evaluate offers based on pricing, quality, delivery, and commercial terms.
- Monitor purchase order progress and ensure orders are delivered according to agreed schedules.
- Communicate effectively with internal departments to understand procurement requirements and ensure timely fulfillment.
- Maintain accurate procurement records, supplier databases, and purchasing documentation.
- Prepare procurement reports and monitor purchasing activities to support management decisions.
- Utilize Microsoft Excel to analyze purchasing data, prepare reports, and track metrics.
- Process procurement transactions and maintain purchasing records within Microsoft Dynamics 365 ERP system.
- Resolve supplier issues related to deliveries, pricing discrepancies, and purchase order execution.
- Ensure compliance with company procurement policies, procedures, and internal controls.
- Perform any other duties related to the nature of the role as assigned by management to support business needs and operational continuity.
- Bachelor's degree in Business Administration, Supply Chain Management, Procurement, or a related field.
- 1–3 years of experience in Procurement or Purchasing.
- Strong negotiation and supplier relationship management skills.
- Good written and verbal communication skills with the ability to manage professional relationships.
- Proficiency in Microsoft Excel and Microsoft Office applications.
- Experience working with ERP systems;
Microsoft Dynamics 365 is preferred. - Strong organizational, analytical, and problem-solving skills.
- Experience in retail, manufacturing, FMCG, or distribution industries.
- Knowledge of procurement processes, purchasing documentation, and supplier management.
- Ability to manage multiple procurement activities in a fast-paced environment.
