Position Overview
The Service Logistics Operations Specialist - Spare Parts is responsible for managing and optimizing end‑to‑end service logistics operations that support OEM spare parts availability across the dealer and service network. The role ensures timely inbound and outbound parts flow, effective VOR management, reverse logistics compliance, and adherence to OEM service standards, with a strong focus on parts availability, vehicle uptime, and customer satisfaction.
Key ResponsibilitiesSpare Parts Service Logistics Operations
- Manage daily service logistics activities related to OEM spare parts distribution to dealers, body shops, and service centers.
- Coordinate inbound shipments from OEM hubs, regional distribution centers, and local suppliers.
- Ensure efficient outbound delivery of spare parts in line with defined service‑level targets and cut‑off times.
VOR & Critical Spare Parts Management
- Coordinate Vehicle‑Off‑Road (VOR), emergency, and critical spare parts logistics to minimize repair lead time.
- Monitor VOR orders, pipeline status, lead times, and delivery performance.
- Escalate supply or transport issues impacting dealer service performance and implement corrective actions.
3PL & Transport Coordination
- Work closely with 3PL warehouses and transportation providers managing spare parts storage and distribution.
- Monitor 3PL performance against OEM SLAs, KPIs, and operational standards.
- Ensure correct prioritization, picking, packing, and dispatch of spare parts, especially for urgent and VOR orders.
Reverse Logistics & Returns (Spare Parts)
- Manage spare parts reverse logistics, including:
- Warranty part returns
- Core returns
- Campaign and recall returns
- Defective and damage claims
- Ensure correct documentation, traceability, segregation, and return timelines as per OEM requirements.
- Coordinate with Warranty, Quality, and Finance teams for proper disposition and credit processes.
OEM Compliance & Governance
- Ensure spare parts logistics operations comply with OEM policies, SOPs, audit standards, and regulatory requirements.
- Support OEM, internal, customs, and logistics audits.
- Ensure adherence to HSE and transportation safety requirements.
Performance Monitoring & Reporting
- Track and analyze spare parts logistics KPIs, including:
- On‑time delivery (OTD)
- VOR fulfillment time
- Transit lead time
- Damage, shortage, and claim rates
- Prepare daily, weekly, and monthly operational reports for management and OEM stakeholders.
- Identify operational gaps and improvement opportunities across the spare parts logistics network.
Continuous Improvement & Projects
- Participate in spare parts logistics optimization initiatives, including route optimization, lead‑time reduction, and cost efficiency projects.
- Support new vehicle model launches, parts introductions, recalls, and service campaigns from a logistics execution perspective.
- Contribute to digitalization and system enhancements related to spare parts logistics.
Cross‑Functional Coordination
- Work closely with Aftersales, Parts Demand Planning, Parts Pricing, Warehouse/3PL, Customs, and Dealer Operations teams.
- Act as a key contact for dealer logistics issues related to spare parts availability and delivery performance.
- Strong service‑level and execution‑focused mindset
- Excellent coordination and problem‑solving skills
- High attention to detail and operational discipline
- Proficiency in ERP and logistics systems (SAP preferred)
- Strong analytical, reporting, and Excel skills
- Ability to manage urgent, high‑priority spare parts demands
- Clear communication and stakeholder management skills
- 3–5 years of experience in service logistics or spare parts operations, preferably within an automotive OEM or authorized distributor environment.
- Strong understanding of automotive spare parts flows, VOR processes, and dealer service requirements.
- Experience coordinating with 3PLs, freight forwarders, and transport providers.
