Freight Specialist, Supply Chain | alfanar Electric Job Purpose
To carry out customs clearance activities for import and export shipments by preparing documentation, coordinating with forwarders and authorities, and ensuring compliance with legal and regulatory requirements. The role supports shipment planning, monitoring, and problem resolution to enable timely delivery.
Key Accountability AreasReview and Validation of Shipping Requests
- Receive shipping requests (IBD) from the purchase officer and review for accuracy.
- Identify and coordinate with the purchase officer to resolve discrepancies in purchase orders.
Compliance with Legal Duty Exemptions
- Verify that cargo descriptions meet alfanar’s legal duty exemption criteria and match the specified materials.
- Initiate exemption requests for items not included in the exemption list.
IBD Processing and System Updates
- Process IBD in the system and ensure updates are completed accurately and on time.
Shipment Planning and Coordination
- Collect shipment details such as packing, quantity, weight, and volume, and confirm readiness with the shipper.
- Determine shipment type (FCL, LCL, consolidation) and obtain rates or review rate contracts with forwarders.
- Compare rates and select the most cost-effective and efficient option after obtaining supervisor confirmation.
- Release the Freight Order (routing request) to the selected forwarder.
Shipment Execution and Monitoring
- Coordinate with shippers and forwarders to arrange timely pickup and shipment movement.
- Monitor lead times to ensure adherence from origin to destination.
Communication and Documentation
- Maintain communication with forwarders and shippers, reporting any deviations and corrective measures.
- Ensure all shipping documents are issued in compliance with local regulations and Freight Order requirements.
- Confirm that shipping documents are available before the shipment arrives at the port.
Insurance Claims Processing
- Assist in initiating and processing insurance claims.
- Provide the insurance specialist with necessary claim documentation in a timely manner.
HR Proficiency
- Ability to obtain updated soft and technical skills related to the job.
Delivery
- Perform the planned activities to meet the operational and development targets as per delivery schedules.
- Utilize resources effectively to achieve objectives within efficient cost and time.
- Provide a periodic report formatted by detailing the deviation and execution of planned tasks.
Problem-Solving
- Solve any related problems arise and elevate any complex operational issues.
Quality
- Ensure quality requirements to develop effective quality control and processes including specifications for products or processes or related activities.
Business Process Improvements
- Coordinate well-defined written systems, policies, procedures, and seek automation opportunities as much as possible.
Compliance
- Comply with related policy and procedures and work instructions.
Health, Safety, and Environment
- Ensure compliance of relevant safety, quality, and environmental management procedures and controls within defined area of work activity to guarantee safety, legislative compliance, and delivery of high-quality products/services.
Bachelor Degree in Transportation/Logistics or Any relevant field
