Overview

The Quality Documentation Officer is responsible for preparing, maintaining, and controlling all quality-related documentation in compliance with regulatory requirements, Good Manufacturing Practices (GMP), and company quality standards. The role supports Quality Assurance and Quality Control activities and works closely with the Quality Manager to ensure continuous improvement of product quality.

Responsibilities
  • Prepare and maintain Material Safety Data Sheets (MSDS/SDS) for all products.
  • Draft and review product leaflets and ingredient lists in accordance with regulatory requirements.
  • Calculate and verify the percentage of allergenic components in perfume oils.
  • Prepare and issue Certificates of Ingredients and Certificates of Analysis (COA) for all products.
  • Maintain and organize documentation required for audits, inspections, and certifications.
  • Implement and monitor compliance with Good Manufacturing Practices (GMP).
  • Record, analyze, and trend customer and internal feedback to support formulation and quality improvements.
  • Conduct complaint investigations and document findings.
  • Coordinate and follow up on Corrective and Preventive Actions (CAPA).
  • Maintain detailed records of inspections, test results, non-conformities, and deviations.
  • Prepare and submit quality reports for management and regulatory authorities.
  • Participate in and lead initiatives aimed at continuous quality improvement.
  • Perform any additional quality-related tasks assigned by the Quality Manager within the scope of the Quality Department.
Qualifications
  • Bachelor’s degree in Chemistry (mandatory).
  • Experience in the perfume and cosmetics industry is preferred.
  • Strong knowledge of GMP, quality systems, and documentation control.
  • Familiarity with cosmetic and perfume regulatory requirements is an advantage.
  • High attention to detail with strong analytical skills.
  • Proficient in MS Office and documentation management systems.
  • Strong communication and teamwork skills.
