Vehicle Fleet Coordinator

Job Summary

Vehicle Fleet Coordinator is responsible for supervising daily logistics operations, maintenance processes, fleet compliance, trip monitoring activities, and logistics administration. The role ensures that logistics procedures are properly implemented, maintenance activities are accurately tracked, government requirements are maintained, and operational standards are consistently followed. The Vehicle Fleet Coordinator supports the Logistics Manager by overseeing logistics staff, monitoring operational performance, identifying improvement opportunities, and ensuring the smooth execution of logistics activities.

Key Responsibilities

Team Supervision & Development

Supervise and support Logistics Officers, Maintenance Personnel, and Logistics Support Staff.
Train team members on logistics procedures, maintenance processes, documentation standards, and company policies.
Monitor employee performance and provide coaching and guidance.
Ensure proper execution of assigned responsibilities and operational tasks.
Promote a culture of accountability, discipline, and continuous improvement.

Maintenance Supervision & Control

Oversee all vehicle maintenance activities and ensure compliance with approved procedures.
Review maintenance requests, records, supporting documents, and maintenance files.
Monitor maintenance schedules and ensure timely completion of preventive and corrective maintenance.
Verify maintenance costs and identify any unusual expenses or deviations.
Ensure proper tracking of maintenance activities, spare parts, and repair history.
Review maintenance reports and provide recommendations for operational improvements.

Fleet Compliance & Government Relations

Monitor the validity and renewal of vehicle registrations, insurance policies, licenses, and other regulatory requirements.
Coordinate with government authorities and insurance providers when required.
Ensure company vehicles remain compliant with all legal and operational requirements.
Maintain accurate records of all fleet-related documentation.

Logistics Monitoring & Operational Control

Monitor trip execution, logistics activities, and operational performance.
Review trip records, delivery documentation, and logistics reports.
Ensure logistics procedures are followed consistently across the department.
Investigate operational issues and recommend corrective actions.
Support efficient coordination between drivers, maintenance personnel, and logistics staff.

Process Improvement & Quality Control

Review logistics processes and identify opportunities for improvement.
Develop and implement controls to improve accuracy, efficiency, and service quality.
Monitor compliance with logistics policies and standard operating procedures.
Support quality improvement initiatives within the logistics department.
Ensure proper documentation and record-keeping standards are maintained.

Reporting & Administration

Review maintenance tracking reports, fleet performance reports, and operational records.
Ensure logistics files, maintenance records, and tracking documents are complete and accurate.
Prepare periodic reports for management on logistics performance and operational issues.
Monitor key logistics metrics and recommend improvement actions.

Qualifications

Diploma or Bachelor's Degree in Logistics, Supply Chain Management, Business Administration, or a related field.
Minimum 3 years of experience in logistics, fleet management, transportation, or maintenance supervision.
Experience in FMCG distribution is preferred.
Strong knowledge of vehicle maintenance processes and fleet administration.
Strong supervisory and leadership skills.
Good analytical and problem-solving abilities.
Proficiency in Microsoft Excel and reporting tools.
Fluent in Arabic;
English proficiency preferred.
