Inventory Management
The Inventory Clerk – Food Receiving will support hotel food and beverage operations by ensuring that inventory, invoices, requisitions, receiving records, and stock levels are accurate and properly controlled. The role helps protect cost accuracy, food safety, supply availability, and operational efficiency by verifying deliveries, refusing incorrect or damaged items, tracking stock movement, and maintaining organized reports. The selected candidate will work closely with purchasing, kitchen, receiving, stores, finance, and supervisory teams to keep food inventory processes reliable and compliant.
Key Responsibilities- Calculate figures for food inventories, purchase orders, requisitions, invoices, and cost‑related records.
- Maintain clear, organized, and accurate filing of inventory reports, invoices, receiving records, and supporting documents.
- Post invoices using computer programs, hotel systems, or relevant inventory and purchasing tools.
- Conduct inventory audits to determine current stock levels, usage needs, shortages, and replenishment requirements.
- Complete requisition forms for inventory items, food supplies, and operational stock requirements.
- Notify the manager or supervisor when stock levels are low or when replenishment action is required.
- Verify received inventory against purchase orders, delivery notes, invoices, and receiving reports.
- Complete inventory reports, receiving logs, stock records, and related documentation accurately and on time.
- Reconcile shipping invoices and receiving reports to ensure count accuracy and proper documentation.
- Receive, unload, check, and process food deliveries according to hotel procedures.
- Refuse acceptance of damaged, unacceptable, expired, incorrect, or non‑compliant items.
- Troubleshoot vendor delivery issues and support the return process for rejected or incorrect products.
- Monitor PAR levels for food items to ensure required stock availability without unnecessary overstocking.
- Follow food safety, hygiene, handling, and storage policies across all food‑related inventory areas.
- Visually inspect received items, tools, equipment, and storage areas to identify defects, damage, or quality issues.
- Use computers, inventory systems, and point of sale systems to enter, locate, and update work‑related information.
- Prepare and review written documents accurately, completely, and in line with operational requirements.
- Answer telephones using professional etiquette and communicate clearly with vendors, supervisors, and colleagues.
- Report accidents, injuries, unsafe work conditions, delivery concerns, or stock issues to management.
- Follow company policies, safety rules, security procedures, grooming standards, and confidentiality requirements.
- Support team goals by maintaining positive working relationships and responding professionally to employee concerns.
- Perform physical inventory and receiving duties including standing, walking, lifting, carrying, pushing, pulling, bending, stooping, and moving items up to 50 pounds.
- Carry out additional reasonable duties requested by supervisors to support procurement, receiving, and inventory operations.
- High school diploma, G.E.D. equivalent, or similar educational qualification.
- Minimum 1 year of related experience in inventory, receiving, purchasing support, store keeping, food stores, hotel operations, or supply control.
- No supervisory experience required.
- No license or certification required.
- Good understanding of food inventory control, delivery checking, invoice posting, requisitions, stock records, and receiving procedures.
- Familiarity with food safety, food handling, storage standards, and basic hygiene requirements.
- Able to reconcile invoices, receiving reports, delivery quantities, and inventory records with accuracy.
